Job Title: Scheduling Coordinator – Complex Case Management
Position Overview
We are seeking a highly organized and detail-oriented Scheduling Coordinator to manage the coordination of complex patient cases that require multiple clearances, vendor coordination, and insurance approvals. This role is critical to ensuring patients move smoothly through the care process while maintaining compliance with clinical, insurance, and operational requirements.

Key Responsibilities

Coordinate scheduling for complex procedures and cases requiring multiple clinical and administrative steps.

Obtain and track medical clearances (cardiac, primary care, anesthesia, etc.) required prior to procedures.

Track insurance verification, prior authorizations, and payer requirements.

Coordinate with external vendors and device representatives.

Serve as a central point of communication between patients, providers, clinical staff and vendors

Monitor case readiness and ensure all documentation, authorizations, and clearances are completed prior to the scheduled procedure date.

Identify and resolve scheduling barriers or missing requirements to prevent delays or cancellations.

Maintain accurate documentation within the electronic health record and scheduling systems.

Communicate clearly with patients regarding preparation steps, documentation needs, and scheduling updates.

Assist with schedule optimization to maximize procedural efficiency and patient access.
Qualifications

1 years of experience in medical scheduling, surgery scheduling, or case coordination preferred.
- Experience working with electronic medical record (EMR) systems.

Exceptional organizational skills with the ability to track multiple cases simultaneously.

Strong communication and follow-up skills with patients, providers, and external partners.

Ability to work independently while collaborating with clinical and administrative teams.

High attention to detail and commitment to accuracy.
Preferred Experience

Ambulatory surgery center or specialty practice scheduling.

Experience coordinating multi-step procedures or high-complexity cases.

Familiarity with payer authorization workflows and vendor coordination.
