Summary

Assist in scheduling quoted work, contract maintenance, repairs and service calls. Prepares and processes coordinating paperwork. Performs general admin duties for the PM department.

Essential Duties and Responsibilities

Schedules PMs with customers in the timeframe of the contract (APM, SAPM, QPM) and completes all administrative tasks related to the PMs, including Salesforce entry.

Schedules Field Technicians for preventative maintenance jobs in coordination with customer’s needs and/or contract commitments.

Updates database for preventive maintenance contracts

Prepares work order tickets for preventative maintenance jobs scheduled.

Submits preventative maintenance Certified Timesheets to Payroll.

Prepares security clearance information and documentation for secure government facilities access.

Sets-up meetings, as needed.

Must participate and successfully complete all training as required by the company.

Performs other duties as assigned.

Education, Skills, and/or Experience

Minimum High School diploma, additional education a plus, 2 years related scheduling/administrative experience or equivalent combination of education and experience. Proficiency in Salesforce required. Strong communication; both verbal and written. Excellent phone skills, with the ability to engage busy customers in brief, effective communication. Strong customer service skills. Detail-oriented, organized, and able to work well with a team. Self-starter, dependable, proactive team player. Proficient in Microsoft Office applications (Word, Excel, Outlook), plus the ability to learn company used applications.
