Job Overview
Purcellville Orthopedic and Physical Therapy is a premier physical therapy clinic specializing in full-body recovery for patients of all ages — from pediatric cases and youth athletes to professional athletes and post-operative rehabilitation.
We are seeking a personable and detail-oriented Front Desk Associate to serve as the welcoming face of our clinic. The ideal candidate will have strong communication and organizational skills, attention to detail, and a passion for providing exceptional patient service. This role supports both administrative and clinical teams to ensure smooth daily operations and an outstanding patient experience.
Duties
- Greet patients and staff with professionalism and courtesy, creating a positive first impression.
- Manage a multi-line phone system, directing calls accurately and providing prompt assistance.
- Verify and manage insurance information, including patients with multiple insurance plans.
- Obtain and track prior authorizations for physical therapy services.
- Accurately explain insurance benefits and coverage details to patients in a clear, supportive manner.
- Schedule and confirm patient appointments, maintaining efficient coordination between patients and clinicians.
- Handle incoming correspondence (emails, faxes, mail, and packages) and distribute promptly.
- Maintain organized filing systems — both physical and digital — and ensure accuracy in all data entry.
- Support clinicians and administrative staff with calendar management and patient documentation.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for administrative tasks and reporting.
- Perform clerical duties such as photocopying, faxing, scanning, and maintaining office and medical supply inventory.
- Maintain a clean, organized, and welcoming front desk area in accordance with HIPAA and confidentiality standards.
- Provide friendly and professional customer service, assisting patients with inquiries and helping resolve issues efficiently.
Skills & Qualifications
- Strong understanding of medical insurance principles, including coordination of benefits and authorization procedures.
- Excellent organizational and multitasking skills with attention to detail.
- Exceptional interpersonal and communication skills, both in-person and over the phone.
- Ability to handle multiple responsibilities efficiently while maintaining accuracy and professionalism.
- Demonstrated proficiency in data entry, filing systems, and document management.
- Experience in a medical or physical therapy office setting preferred, but not required.
- Familiarity with EMR systems and office equipment (multi-line phones, scanners, fax machines, printers).
- Bilingual abilities are a plus.
