About the Role

At Superior Communication Services (SCS), strong operational support enables great work. We’re hiring a part-time Accounting and Office Coordinator to keep day-to-day logistics running smoothly for both office and field teams.

You’ll play a vital role in ensuring operations flow seamlessly by leading travel coordination, keeping the office stocked and organized, supporting the company vehicle program, coordinating event logistics, and supporting the accounting team with data entry. This role is perfect for someone who is detail-oriented, organized, dependable, and enjoys making systems work efficiently.

What You’ll Do

  • Travel Coordination: Book flights, hotels, and rental cars for technicians and managers. Confirm itineraries, handle unexpected changes/cancellations, manage credits and loyalty accounts, and maintain a shared travel tracker and calendar.
  • Office Operations: Keep the office running smoothly: order supplies, uniforms, and kitchen stock; coordinate desk setups, access badges/door credentials, and light facilities requests.
  • Accounting Support: Enter invoices, receipts, and basic financial data into accounting systems. Work closely with the accounting team to ensure records are accurate and up to date.
  • Organization: Maintain digital folders, templates, and checklists to make recurring tasks easy and consistent.
  • Shipping & Logistics: Prepare and send packages (new hire gear, client gifts, equipment) via UPS, generate labels, and track deliveries.
  • Vehicle Program Support: Track and organize company vehicle information, assist with maintenance scheduling, registration renewals, and mileage or usage logs.
  • Inventory Tracking: Monitor and replenish uniforms, PPE, office supplies, and kitchen inventory.
  • Event Coordination: Execute logistics for company events, including the holiday party, golf outing, and monthly team events. Handle venue holds, RSVPs, catering, gifts, and any related travel.
  • Team Engagement: Support recognition touchpoints like birthdays, anniversaries, and team celebrations.
  • Vendor Relations: Liaise with vendors and service providers, including Hotel Engine, National/Enterprise, uniform and print partners, and local suppliers.
  • Cross-Functional Support: Collaborate with HR, Finance, and Operations teams to assist with administrative and coordination projects as needed.

What You’ll Bring

  • 2 years in office coordination, operations support, or administrative roles (internship and part-time experience welcome).
  • Strong organization and follow-through; able to manage multiple small details with accuracy.
  • Clear, professional communication skills with team members at all levels.
  • Proficiency with Microsoft 365 (Outlook, Excel/Sheets, Teams) and willingness to learn new tools (e.g., Hotel Engine, UPS, National/Enterprise portals, Paychex basics).
  • Discretion when handling confidential information.
  • A positive, service-minded attitude and willingness to pitch in wherever needed.
