- Administer the campus Event Management System (EMS), including room reservations, fleet vehicle scheduling, approvals, user account management, configuration, reporting, and system maintenance.
- Coordinate classroom and meeting space scheduling activities, including synchronization of academic schedules, special events, and final examination schedules.
- Manage room, building, user, and report configurations within EMS and work directly with vendor support to resolve system issues and implement enhancements.
- Coordinate campus events by communicating with stakeholders and ensuring that facility, safety, custodial, grounds, transportation, and operational requirements are identified and fulfilled.
- Answer telephone calls and inquiries received by the Facilities office, provide information and assistance, and direct calls to appropriate personnel.
- Monitor Facilities Management email accounts and create, route, and track work orders within the campus work order management system.
- Assist with the implementation, configuration, testing, and ongoing administration of the campus facilities work order management system.
- Ensure appropriate facilities work orders and support tickets are assigned as part of campus event planning and execution.
- Greet visitors, contractors, vendors, and staff entering Facilities offices and provide assistance as needed.
- Prepare, maintain, and file reports and documentation required by state and regulatory agencies, including the New York State Department of Environmental Conservation (DEC) and other applicable agencies.
- Administer and maintain the campus fleet vehicle reservation system and ensure compliance with departmental procedures.
- Participate in campus committees, planning meetings, and departmental initiatives related to facilities operations and campus events.
Job Requirements:
- High school diploma or high school equivalency diploma; and two years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
- The successful candidate must be reachable for appointment on a present, permanent Civil Service eligible list for Administrative Assistant I; or NY HELPS; or
- Previously held the Administrative Assistant (Secretary I) Title; or
- Be eligible for transfer to the Administrative Assistant I title, or Administrative Assistant Traineeship title.

- Starting Salary: $47,695 (AA1) or TBD if eligible for traineeship based on Civil Service guidelines.
