The Clinical Coordinator is responsible for supporting the daily clinical operations of a urology practice, ensuring efficient patient care coordination, timely communication, and adherence to clinical protocols. This role serves as a key liaison between providers, patients, and ancillary services, while also assisting with clinical procedures and administrative responsibilities.

Job Description
The Clinical Coordinator is responsible for supporting the daily clinical operations of a urology practice, ensuring efficient patient care coordination, timely communication, and adherence to clinical protocols. This role serves as a key liaison between providers, patients, and ancillary services, while also assisting with clinical procedures and administrative responsibilities.
Key Responsibilities
Duties include, but are not limited to:
- Manage and process laboratory downloads, incoming faxes, and clinical documentation in a timely manner
- Review and document tasks within the electronic medical record (EMR); delegate non-clinical tasks (e.g., appointment scheduling) appropriately
- Answer and triage patient phone calls, voicemails, and direct line messages throughout the day
- Schedule patient appointments, including post-operative follow-ups, and conduct follow-up calls as needed
- Coordinate and complete paperwork for home health services
- Prepare and submit prior authorizations and other required insurance documentation
- Generate and process clinical orders for specialized testing, including laboratory and radiology services
- Transmit orders to external lab and radiology facilities and ensure completion
- Submit provider-approved prescriptions and medication orders
- Scan and prioritize high-risk clinical documents (e.g., pathology reports, abnormal labs, positive specimens, abnormal imaging) and route to providers for review
- Maintain and manage the triage schedule, ensuring coverage between 8:00 AM – 5:00 PM
- Administer subcutaneous and intramuscular injections
- Perform phlebotomy procedures
- Insert and manage foley catheters
- Collect and process specimens (e.g., voided urine, catheterized urine, vaginal swabs)
- Administer bladder instillations via foley catheter
- Assist providers during in-office procedures as needed
- Provide coverage on the clinic floor as needed
- Assist with medication inventory management and supply tracking
- Support onboarding and training of new clinical staff
- Collaborate with the Clinical Supervisor on OSHA compliance updates, staffing coordination, and employee oversight
- Serve as backup for the Clinical Supervisor in their absence
- Clinical certification or licensure as required by state regulations (e.g., Medical Assistant or LPN)
- Experience in urology or a specialty clinical setting preferred
- Proficiency in EMR systems and clinical documentation
- Strong organizational, multitasking, and communication skills
- Ability to work in a fast-paced environment while maintaining attention to detail
