What You’ll Do
An Executive Assistant (EA) in a title company plays a pivotal role in ensuring smooth operations, providing high-level administrative, organizational, and strategic support to senior executives by managing their calendars, communications, travel arrangements, and office operations. Key responsibilities include drafting correspondence, preparing reports and presentations, handling sensitive information with confidentiality, and acting as a liaison between the executive and other internal or external stakeholders. EAs require strong communication, time management, and organizational skills to manage complex schedules and tasks at a strategic level.
The ideal EA is a proactive problem solver, a dependable team player, and a forward thinker who can anticipate needs before they arise. They foster communication, enhance collaboration, and help create a positive, growth-oriented team culture while keeping operations running seamlessly.
This position requires working on-site at our Austin, TX office. (Not a remote position.)
Key responsibilities
- Calendar and schedule management: Coordinate complex schedules, arrange meetings, and resolve scheduling conflicts for the executive.
- Communication hub: Serve as the primary point of contact for internal and external stakeholders. This includes screening phone calls, managing emails, and drafting professional correspondence.
- Document and information management: Prepare, edit, and format various documents, including reports, presentations, and meeting agendas. Maintain organized filing systems for both paper and digital records.
- Confidentiality: Handle sensitive information and materials with a high degree of discretion and integrity.
- Meeting support: Prepare materials for meetings, take accurate minutes, and track action items to ensure follow-up.
- Event and project coordination: Manage the planning and execution of various events, meetings, or special projects on behalf of the executive.
- Financial administration: Process expense reports, manage invoices, and assist with budget tracking.
- Administrative supervision: In some settings, an executive assistant may supervise and delegate tasks to junior administrative staff.
- Travel and logistics: Arrange and manage all travel logistics, including booking flights, accommodations, transportation, and preparing detailed itineraries.
Skills and Qualifications
Hard skills
- Technology proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a high aptitude for learning new software and systems.
- Calendar management: Expertise in handling complex scheduling scenarios, including across different time zones.
- Typing and transcription: The ability to type quickly and accurately, and to take meeting minutes or dictation.
- Business acumen: A solid understanding of the organization's business, goals, and industry.
- Research and data analysis: Skills in researching topics and compiling data to support executive decision-making.

Education & Experience
- High school diploma or equivalent required.
- Minimum 5 years of experience as an Executive Assistant.
- Experience handling tasks in a fast-paced environment.
- Bilingual English – Spanish a must
