Description
The Administrative Assistant provides day-to-day administrative and clerical support to the branch office, ensuring smooth operations, professional reception of patients, families, and visitors, and timely handling of internal and external communications. This role supports operational, clinical, and HR functions and serves as a central point of contact for the office.
ESSENTIAL JOB DUTIES:
• Answer incoming phone calls promptly and professionally, route calls to the appropriate personnel, and take accurate messages.
• Greet and assist visitors, patients, family members, applicants, and field staff in person at the office.
• Maintain organized paper and electronic filing systems for patient records, employee files, and operational documents in accordance with HIPAA and agency policy.
• Prepare, scan, copy, fax, and distribute correspondence, forms, reports, and meeting materials.
• Process incoming and outgoing mail and coordinate courier and delivery services.
• Order, receive, and maintain inventory of office supplies, equipment, and PPE; submit purchase requests as needed.
• Provide administrative support to scheduling, intake, HR, and clinical teams as requested, including data entry into HHAeXchange or other agency systems.
• Maintain a clean, organized, and professional reception area and shared office spaces.
• Support new hire onboarding by preparing paperwork, badges, and orientation materials.
• Assist with coordination of meetings, in-services, and agency events.
• Other duties as assigned by leadership.

Requirements
QUALIFICATIONS:
• High school diploma or equivalent required; associate's degree preferred.
• Minimum 1-2 years of administrative or office support experience, preferably in healthcare or home care.
• Proficiency in Microsoft Office (Outlook, Word, Excel) required.
• Experience with HHAeXchange or other electronic medical record (EMR)/scheduling systems strongly preferred.
• Excellent verbal and written communication skills.
• Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
• Professional, courteous demeanor with a customer-service orientation.
• Bilingual (Spanish or other) preferred but not required.
