Position Summary

The Fleet Manager provides leadership and oversight of all fleet operations across the organization, ensuring assets are deployed effectively, maintained responsibly, and aligned to both financial performance goals and operational excellence standards. This role serves as the central authority for fleet governance, driving standardization, cost control, compliance, and data transparency across all branches. The Fleet Manager will work cross-functionally with Field Operations, Finance, Talent & People, and external insurance partners to ensure the fleet program supports business growth, risk mitigation, and branch accountability.

Key Responsibilities

Strategic Fleet Oversight & Financial Stewardship

  • Lead the long-term fleet strategy with a focus on cost optimization, asset lifecycle planning, and alignment to growth targets.
  • Evaluate ROI on new vehicle requests by reviewing branch justifications against utilization data, operating budgets, and forecasted demand.
  • Partner with Finance/Accounting to ensure accurate capitalization, depreciation tracking, and monthly reconciliation across all fleet-related general ledger accounts.
  • Monitor insurance costs, downtime impact, and maintenance spend to identify savings opportunities and improve cost-per-vehicle efficiency.

Inventory Management & Administration

  • Maintain a centralized and continuously updated fleet inventory system, ensuring full visibility into asset status, condition, deployment, and ownership.
  • Approve fleet acquisitions, transfers, and decommissions based on operational need and financial impact.
  • Oversee registration, tag renewals, and ensure all regulatory and compliance documentation is current and centrally stored.
  • Conduct structured semi-annual fleet assessments to evaluate utilization, age, maintenance trends, and replacement needs.
  • Ensure reconciliation between Fleet, Finance, Insurance, DMV, and branch records is completed monthly to maintain system integrity and audit readiness.
  • Maintain full digital documentation for each vehicle including pre-deployment records, inspections, maintenance logs, and compliance history.

Telematics, GPS & Toll Management

  • Lead telematics governance by actively monitoring GPS dashboards for performance, safety behavior, and misuse.
  • Ensure all vehicles maintain active GPS and telematics connectivity and troubleshoot performance gaps across branches.
  • Manage all Florida SunPass (or other) accounts/transponders and enforce toll accountability and expense tracking.
  • Use telematics insights to drive behavioral coaching, fuel efficiency improvements, and reduction of non-revenue miles.

Reporting & Operational Excellence

  • Develop structured fleet performance dashboards (daily, weekly, monthly, quarterly) covering utilization rates, downtime, fuel efficiency, incident trends, insurance claims, and cost performance.
  • Cascade actionable reporting to branch leadership and corporate leadership, ensuring clear accountability and follow-through on variances or compliance issues.
  • Present fleet performance insights to support capital planning and operational forecast cycles.

Compliance, Training & Cross-Functional Partnership

  • Partner closely with Talent & People to roll out training modules for branch teams on fleet policies, telematics usage, documentation standards, and accountability expectations.
  • Coordinate with external insurance broker partners to align fleet risk management practices, ensure claims handling efficiency, and access industry benchmarking data.
  • Conduct regular MVR (Motor Vehicle Record) checks in partnership with Talent & People to ensure driver eligibility compliance.
  • Monitor branch-level adoption of vehicle standardization policies and escalate non-compliance issues for corrective action.
  • Serve as the primary escalation lead for vehicle (non-people) insurance-related incidents, coordinating between insured, the broker and insurance partners.
