Purpose:
The Trading Operations Coordinator supports the Trading team by ensuring the timely and accurate execution of contracts, supplier communications, documentation, and shipment coordination. This role is ideal for someone who thrives in a fast-paced, team-oriented environment and is eager to grow into greater responsibility over time. A proactive approach, comfort with ambiguity, and strong attention to detail will set the foundation for success in this role.
Essential Job Functions:
- Contract Management: Enter and maintain purchase and sales contracts in the trading system with a focus on accuracy, compliance, and timely updates.
- Shipment Coordination: Monitor inbound and outbound shipments, provide clear instructions to suppliers, and ensure inventory is aligned with customer requirements.
- Supplier & Documentation Support: Manage and organize documentation for supplier and customer approvals, including Certificates of Analysis and quality documentation.
- Issue Resolution: Investigate and resolve product discrepancies such as damages, shortages, labeling issues, or quality concerns in coordination with suppliers and internal teams.
- Sample & Product Follow-Up: Coordinate the sending and receiving of product samples and follow up on new product opportunities to support trading decisions.
- Market Awareness: Stay current on commodity trends, supplier developments, and competitor activity to help support strategic sourcing and sales opportunities.
- Process Improvement: Identify and implement process enhancements in data management, supplier communications, and internal workflows to improve team efficiency and scalability.
- Cross-Functional Collaboration: Work closely with traders, quality assurance, logistics, and supply chain teams to ensure alignment on product availability, quality standards, and fulfillment needs.
- Task Prioritization: Balance and prioritize multiple ongoing tasks in a fast-paced environment, demonstrating a high degree of organization and initiative.
Job Requirements:
- Education: High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Experience: 1–3 years of experience in trading, logistics, supply chain, or a related support role.
- Technical Skills: Proficiency in Microsoft Office Suite, especially Excel; familiarity with ERP systems such as Microsoft Dynamics/Navision is a plus.
- Organizational Skills: Ability to manage competing priorities, multitask effectively, and maintain attention to detail in a high-volume environment.
- Communication Skills: Strong verbal and written communication skills, with the ability to collaborate across departments and with external partners.
- Problem-Solving Skills: Comfortable working through ambiguity with a solution-oriented mindset; capable of identifying issues and proposing improvements.
- Team Orientation: A proactive, dependable team player who contributes positively to group goals and thrives in a collaborative setting.
Demands/Physical Requirements:
- Must be able to sit and work from a computer in a remote setting for an extended period.
- Ability to work in an office environment.
- Ability to work under pressure and meet tight deadlines.
- On-Site Work: Must be able to commute and work on-site at a minimum of 1 day a week.
Please note: This role is based in our Englewood Cliffs, NJ office and is classified as a New Jersey position. It follows a hybrid work arrangement with one day in office at a minimum or as needed.
Salary : $60,000 - $75,000
