ESSENTIAL JOB FUNCTIONS
Event Planning and Coordination
- Coordinate and execute SunCoast-hosted events in alignment with organizational priorities and marketing initiatives.
- Manage event timelines, logistics, vendor coordination, permits, setup, breakdown, and operational execution.
- Ensure events are organized, professional, and reflective of SunCoast Blood Centers’ mission and brand standards.
- Assist with inventory, ordering, transportation, and preparation of event materials and supplies.
- Provide on-site event coordination and operational support during community events and organizational functions.
- Build and maintain positive relationships with local businesses, chambers, schools, community organizations, and event partners.
- Represent SunCoast Blood Centers at networking events, community meetings, fundraising initiatives, and outreach opportunities.
- Identify opportunities for community engagement, partnerships, sponsorships, and organizational visibility.
- Support sponsorship coordination efforts for community and organizational events.
- Assist with sponsor outreach, communications, deliverables, and recognition activities.
- Support fundraising initiatives connected to events and community campaigns under department leadership.
- Help maintain sponsor, donor, and partnership tracking information.
- Assist with coordination of donor stewardship and community engagement activities related to fundraising events.
- Coordinate with Marketing, Recruitment, Operations, Donor Services, Development, and other departments to support event needs and organizational initiatives.
- Communicate event timelines, staffing needs, sponsorship activities, and operational updates clearly and professionally.
- Support alignment between events, marketing campaigns, donor engagement efforts, fundraising support activities, and organizational messaging.
- Assist with promotion of events through approved marketing and communication channels.
- Ensure proper branding, signage, displays, and presentation standards are maintained at events.
- Assist with content collection, including event photos, videos, testimonials, and engagement materials for marketing use.
- Track event participation, attendance, sponsorship involvement, fundraising support activities, and engagement metrics.
- Assist with post-event recaps, operational feedback, and reporting. Support continuous improvement efforts by identifying opportunities to improve event execution, fundraising support efforts, and community engagement.
- Participate in required meetings, trainings, and professional development activities.
- Maintain a professional and organized work environment.
- Perform other related duties as assigned in support of SunCoast Blood Centers’ mission, vision, and values.
- Regular, reliable, and timely attendance is essential to support operational success and the life-saving mission of the organization.

Physical Requirements
- Ability to stand, walk, bend, and lift during event setup and breakdown activities.
- Ability to lift and move materials weighing up to 40 pounds.
- Ability to work extended hours during events as needed.
- Work is performed in both office and community event environments.
- Local travel between donor centers, event sites, and community locations is required.
- Evening and weekend work may be required based on event schedules and organizational needs.
- Regular, dependable attendance and punctuality are essential to this role.
- Must possess and maintain a valid driver’s license and reliable transportation.
- Flexibility to work evenings, weekends, and community events as operationally necessary.

Qualifications
MINIMUM QUALIFICATIONS
Education
- Associate degree in Marketing, Communications, Event Management, Business, Public Relations, or a related field preferred.
- Equivalent combination of education and experience may be considered.
- Minimum two (2) years of experience in event coordination, marketing support, fundraising support, community engagement, or related experience preferred.
- Experience coordinating multiple projects and timelines simultaneously preferred.
- Strong organizational and project coordination skills.
- Excellent interpersonal, communication, and relationship-building abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and follow-through.
- Ability to work collaboratively across departments and with external partners.
- Basic knowledge of event promotion, branding, community engagement, and sponsorship support strategies.
- Proficiency in Microsoft Office and basic social media platforms preferred.
