Job Title: Property Management Assistant
Reports to: Property Management Director and Executive Director
Hours: Full-Time, must be flexible with hours as per the operational needs of the office and available evenings and weekends for emergency calls on a rotating basis.
Salary: Range $45,000 - $52,000 annually, depending on experience
We are looking to hire a competent Full-Time Property Management Assistant who is responsible for overseeing the day-to-day operations of homes owned by Summit Housing Development Corporation. We are a non-profit organization providing safe and appropriate housing in an integrated setting for individuals with developmental disabilities. The ideal candidate will be a hard-working professional with strong leadership skills that is able to manage maintenance requests, problem solve and ensure properties are maintained to a high standard. Candidate must be comfortable working with a high degree of attention to detail as well as incorporating new and effective ways to achieve better results.
Responsibilities
- Manage maintenance work order requests and coordinate repairs with vendors/contractors on a daily basis.
- Perform property inspections on a regular basis; oversee the process of preparing vacant units for new tenants.
- Seek out new vendors and contractors when needed and build rapport with all vendors and contractors.
- Provide administrative support to Property Management Director and Executive Director.
- Assist with completing, managing and tracking all documentation and paperwork for Grant Funding.
- Available for coverage of 24/7 Emergency Line on a rotational basis.
- Attend monthly meetings, take notes and create summaries.
- Answer and place phone calls, take accurate messages, and direct inquiries appropriately.
- Document preparation and management, including creating, formatting and editing letters, reports, Excel & Word documents, etc.
- Manage and maintain City, County and State contracts and document preparation.
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored.
- Perform other duties and special projects as assigned.
Qualifications:
Education: Minimum High School Diploma required
- Minimum of two years of verifiable paid Property Management Assistant required or a 4-year degree in a related field.
- Experience in managing multiple properties required.
- Knowledge of common household equipment, appliances and furnishings.
- Buildium or Property Management Software experience.
- Proven ability to prioritize and execute maintenance tasks efficiently.
- Highly proficient with MS Office tools (Excel, Word and Outlook).
- Excellent time management skills.
- Ability to meet deadlines and multi-task.
- Strong communication skills, verbal and written, required.
- Analytical and forward thinking a must!
- Possess a keen eye for detail and accuracy while handling multiple tasks.
- Ability to work independently and in a team environment.
- Ability to independently formulate decisions &/or judgments involving non-legal interpretation of policies & procedures as they would apply to given situation to resolve problems.
- Available during off-hours for communications of all kinds. Evening and weekend hours may be needed periodically as workload demands.
- Willing to cover various job duties for colleagues on leave as needed.
