Role Description
The Billing Manager is a full-time, on-site role based in Tyler, TX, responsible for overseeing all aspects of the firm’s billing operations. This position manages the end-to-end billing process, including time entry review, invoice preparation, adjustments, and final approval to ensure accuracy and timeliness. The Billing Manager monitors accounts receivable, retainer balances, work in progress, follows up on outstanding balances and trust requests, and partners with attorneys and staff to resolve billing issues and clarify client billing arrangements. The role includes maintaining and optimizing billing systems, implementing best practices for revenue cycle management, and producing regular billing and financial reports for leadership. Day-to-day work also involves analyzing billing data, identifying trends, recommending process improvements, and ensuring compliance with firm policies and relevant regulations.
Responsibilities
- Own end-to-end billing operations, including pre-bill review, invoice generation, and billing accuracy
- Partner with attorneys and paralegals to ensure time is entered timely, accurately, and aligned with firm billing standards.
- Manage retainer tracking, replenishment monitoring, and trust account coordination.
- Oversee accounts receivable, aging reports, and proactive collections processes.
- Support realization by identifying billing leakage, write-down trends, and time-entry compliance gaps.
- Maintain billing workflows, templates, and quality control standards.
- Produce monthly reporting on utilization, realization, collections, and WIP trends.
- Train attorneys and staff on billing expectations, narratives, and compliance standards.
- Collaborate with Client Services and Intake to ensure engagement terms and billing expectations are clearly set up front.
Required Qualifications
- The ability to office daily in the Firm's Tyler, Texas office.
- Prior experience managing billing operations for a law firm.
- Demonstrated expertise in the billing process and invoicing, with the ability to manage end-to-end billing in a professional services or legal environment.
- Hands-on experience with Clio and its billing system, including maintaining data accuracy and improving system workflows.
- Strong analytical skills, with the ability to interpret billing and revenue data, generate reports, and provide actionable insights.
- Knowledge of revenue cycle management principles, including accounts receivable, collections, and cash flow optimization.
- Excellent attention to detail, organizational skills, and ability to manage multiple deadlines in a fast-paced environment.
- Clear, professional communication skills for collaborating with attorneys, staff, and clients regarding billing matters.
- Proficiency in common office productivity tools (e.g., spreadsheets, word processing) and comfort learning new systems.
- Associate or bachelor’s degree in accounting, finance, business, or a related field, or equivalent work experience.
