Core Responsibilities:

  • Must be knowledgeable and experienced in IV principles and practices related to infusions and injections in the administration of medications
  • Prepare treatment rooms, sanitizing equipment, ordering and stocking of supplies
  • Attend facility-required staff training and meetings

Spravato Administration & Monitoring: Monitoring blood pressure and observing for potential dissociation or sedation throughout the 2-hour treatment session.

  • Safety Compliance: Managing compliance with the FDA-required Spravato REMS program and documentation.
  • Patient Support: Guiding patients through the treatment process, offering comfort, and escalating critical situations (such as side effects or worsening suicidality) to medical professionals.
  • Clinical Documentation: Maintain detailed, HIPAA-compliant electronic health records (EHR), including REMS reporting and PHQ-9 depression scores.
  • Coordination: Manage patient scheduling, obtain prior authorizations, and assist with insurance documentation.

TMS Treatment Administration: Operating and setting up the TMS device according to established, doctor-prescribed protocols.

  • Scheduling TMS treatment appointments and verifying medical insurance authorizations.
  • Administering TMS treatments according to protocols provided by mental healthcare professionals.
  • Enabling effective treatment by accurately positioning the TMS equipment's electromagnetic coil.
  • Ensuring head and neck support in order for patients to remain completely still during sessions.
  • Explaining TMS procedures and its possible effects on patients, as well as answering questions.
  • Creating a supportive treatment environment and demonstrating compassion.
  • Assisting patients to complete psychiatric rating scales after sessions.
  • Recording session notes and collaborating with certified TMS psychiatrists on patient care.

Patient Care & Positioning: Ensuring proper positioning of the electromagnetic coil on the patient's head, monitoring patients during sessions, and ensuring comfort

Monitoring & Safety: Tracking patient symptoms, assessing potential side effects during sessions, and alerting physicians to issues.

Documentation & Scheduling: Maintaining accurate treatment records in electronic health record (EHR) systems and managing appointment scheduling

Soft Skills: High levels of empathy, attention to detail, and the ability to remain calm under pressure are essential for supporting vulnerable patient populations

IV Ketamine Administration: This role requires advanced IV skills, close patient monitoring, and the ability to provide a calm, supportive environment for patients undergoing profound psychological experience.

· IV Access and Administration: Initiating IV lines and administering ketamine infusions or injections according to physician protocols.

· Patient Monitoring: Continuously monitoring patients’ vital signs (ECG, pulse oximetry, blood pressure) during and after treatment to ensure safety and comfort.

· Adverse Reaction Management: Recognizing and responding to potential side effects or adverse reactions.

· Patient Care and Support: Preparing patients for treatment, providing emotional reassurance during the session, and delivering post-infusion care.

· Documentation and Compliance: Maintaining accurate, detailed patient records using electronic health records (EHR) and managing inventory of controlled substances.

· Clinic Maintenance: Supporting infection control and keeping the clinic environment clean and orderly.

Administrative & Coordination Tasks

· Verification of Prior Authorization (PA): Confirming that a valid PA is active for every patient before pulling a kit from the shelf for their session to prevent uncollectible costs.

· Billing & Payments: Collecting co-pays, processing credit card payments, and creating fee forms or payment plans for out-of-pocket costs.

· Patient Intake: Greeting patients, recording medical histories, and confirming the purpose of visits.

· Inventory Forecasting: Tracking patient schedules to predict how many 56mg and 84mg kits are needed each week.

· Order Placement: Managing accounts with distributors to place timely orders, ensuring medication arrives before scheduled appointments while minimizing excess "sitting" inventory.

· NDC & Lot Tracking: Recording the specific National Drug Code (NDC) and lot number for every administered kit to ensure accurate billing and safety tracing.

· Storage Compliance: Ensuring all purchased kits are stored according to FDA REMS and manufacturer temperature requirements

· Clinical Auditing: Periodically reviewing patient charts, schedules and medication logs to ensure compliance with REMS and DEA standards.

Requirements and Qualifications

Education/Experience: Typically requires a medical assistant (MA) certification, EMT or EMT-P license, or experience as a psychiatric technician or nursing assistant. Previous experience working with psychiatric patients (e.g., anxiety, depression) is highly valued. (preferred)

Skills: Ability to work with patients dealing with severe depression, proficiency with EHR systems, and strong interpersonal skills.

· Exceptional IV Skills

· Paramedic 1 years Field experience (preferred)

· EMR systems experience

· Compassion and kindness

· Mental Health experience a plus with knowledge of psychiatric medications

· Excellent patient care skills

· Must have the ability to multi-task and maintain the highest level of patient care

· Able to remain professional at all times

· Critical thinking skills

Safety Training: Must follow rigorous safety protocols, including HIPAA and clinical safety standards.

Schedule:

Monday – Friday 9:00am- 6:00pm, 1 hour Lunch Break

  • Must be willing to travel to all clinics – Oak Brook Terrace, Wheaton and Oswego.
  • Driver's License (Required)
  • Paramedic License (Required)

Pay: $30.00 - $35.00 per hour
