About The Role
We’re looking for an Executive Assistant to support the COO and serve as a critical operational partner across the business. This is far more than calendar management; this role functions as a “mini Chief of Staff,” helping streamline priorities, manage cross-functional workflows, remove operational friction, and ensure the COO’s time is spent on the highest-impact work.
You’ll oversee executive scheduling, communication flow, and task prioritization, while also stepping into operational coordination across teams. You’ll manage the office day-to-day, maintaining an efficient environment and supporting the team with logistics and operational clarity. You’ll also help drive follow-through on initiatives, prepare materials, and coordinate cross-team execution.
This is a high-trust role requiring exceptional judgment, discretion, organization, and the ability to anticipate needs before they arise.

Key Responsibilities
- Serve as the COO’s right hand; anticipating needs, managing priorities, and ensuring high-leverage use of time.
- Manage complex calendars, scheduling, follow-ups, inbox organization, and day-to-day communication flow.
- Coordinate operational workflows across marketing, product, engineering, and business functions as needed.
- Track tasks, deadlines, and deliverables to ensure nothing falls through the cracks.
- Oversee office operations: ordering supplies, managing building relationships, handling facilities needs, ensuring smooth day-to-day functioning.
- Prepare executive briefs, meeting agendas, pre-reads, and follow-up notes.
- Assist with special projects, research, vendor coordination, and documentation.
- Coordinate on-site meetings, internal events, and team operational needs.
- Maintain confidentiality on company information, HR matters, and executive communications.
- Act as an extension of the COO in communication style, professionalism, and decision-making.
- Serve as a brand ambassador for StudyFetch, ensuring every candidate experience reflects our values.
- Maintain strict confidentiality and professionalism across all hiring activities.
- 3–7 years of executive assistant experience supporting senior leaders; startup or high-growth environment preferred.
- Strong organizational and project management skills—able to manage competing priorities with precision.
- Calm under pressure with exceptional communication skills and high emotional intelligence.
- Can operate like a mini Chief of Staff: structured thinker, proactive, anticipatory, solution-oriented.
- Ability to maintain strict confidentiality and exercise excellent judgment.
- Comfortable working onsite 5 days a week in a fast-moving environment.
- Highly detail-oriented with strong writing and documentation skills.
- Experience managing office operations is a plus (or willingness to learn quickly).
- $90,000 - $130,000 Base Salary
