Job Description
studioDSK seeking a dynamic and detail-oriented Project & Billing Coordinator to support Project Managers and the Finance team by coordinating project administration, financial management, billing, and operational processes. Your expertise will help maintain project organization, financial health, and efficient project delivery while serving as a key liaison among project teams, clients, consultants, and internal stakeholders. This position offers an exciting opportunity to contribute to a fast-paced environment where your organizational skills and accounting knowledge will drive efficiency and accuracy. This role reports to the Controller.
Essential Duties & Responsibilities
Project Administration & Financial Coordination
- Manage project setup, maintenance, contracts, and project closeout activities.
- Coordinate client invoicing, consultant invoices, consultant payables, accounts receivable follow-up, budget tracking, and contract value management.
- Maintain accurate project and financial information within Deltek and related systems.
- Support project financial reporting and documentation to ensure the projects are financially accurate and support the Firm’s targeted KPIs.
Project Coordination
- Coordinate project meetings, schedules, and deliverables.
- Facilitate consultant communications, proposals, and contract coordination.
- Maintain organized project documentation and support efficient information flow among stakeholders.
- Assist project teams in meeting project milestones and client expectations.
Operations & Team Support
- Standardize documentation and promote consistency across project processes.
- Support workflow, technology, and operational efficiency improvements.
- Collaborate closely with Project Managers, Finance Team, clients, and consultants to ensure high-quality project delivery.
- Support special projects and additional responsibilities as assigned by the Controller and leadership team to meet evolving business needs and organizational priorities.
- Other duties as assigned
Requirements
- Bachelor’s degree in Business, Accounting, Project Management, or a related field preferred.
- 5 years of progressive experience supporting project management, billing, accounting, operations, or project coordination within architecture, engineering, construction, design, or other professional services environments.
- Proven experience with project-based accounting, consultant coordination, and client invoicing preferred.
- Effective communication skills for client, consultant, team interactions, and internal collaboration.
- Ability to handle multiple tasks efficiently while maintaining high accuracy.
- Knowledge and experience with Deltek Vantagepoint or similar project accounting software preferred.
- Legal and contract review experience is a plus.
Pay: $28.85 - $36.06 per hour
