Job Description
The Project Coordinator supports procurement and supply chain activities by monitoring purchase orders, materials, and inventory to ensure projects run on schedule. This role works closely with suppliers, contract manufacturers, and internal teams to track shipments, validate documentation, and resolve issues that could impact project timelines. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, remote work environment.
Responsibilities
- Monitor and follow up on purchase orders on a weekly or bi-weekly basis to ensure materials ship according to schedule.
- Communicate regularly with suppliers and contract manufacturers to proactively identify and resolve potential delays.
- Collect packing lists and Proofs of Delivery from manufacturing partners to facilitate timely purchase order receipts.
- Review invoices received from contract manufacturers for accuracy and coordinate the creation of corresponding sales orders.
- Conduct weekly inventory reviews with contract manufacturers to validate inventory levels and ensure material availability.
- Maintain accurate procurement and material tracking documentation across all active projects.
- Collaborate with internal procurement, supply chain, and project teams to support successful execution of project initiatives.
- Escalate material availability, shipment, or documentation issues as needed to minimize project risk.
- Use ERP and related systems to support purchase order management, materials tracking, and reporting.
- Support engineering and manufacturing administration activities related to materials and contract manufacturing as needed.
Essential Skills
- Previous experience in procurement, purchasing, supply chain, project coordination, or materials management.
- Strong communication skills with the ability to work professionally and effectively with suppliers and external partners.
- Exceptional attention to detail and organizational skills.
- Experience tracking purchase orders, shipments, invoices, and inventory.
- Proficiency with Microsoft Excel and Microsoft Office applications.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
- Comfort working independently in a remote environment while collaborating across teams.
- Familiarity with working with contract manufacturers and manufacturing partners.
- Ability to use ERP systems such as SAP, Oracle, or NetSuite for procurement and materials tracking.
- Foundational understanding of procurement and materials management processes within a supply chain or engineering context.
Additional Skills & Qualifications
- Experience supporting supply chain activities in an engineering, robotics, or manufacturing environment.
- Background in engineering administration or working closely with engineering teams.
- Hands-on experience with contract manufacturing operations and materials management.
- Exposure to robotics or advanced manufacturing technologies.
- Experience with multiple ERP platforms, including SAP, Oracle, and NetSuite.
- Ability to interpret and reconcile packing lists, Proofs of Delivery, and invoices.
- Strong problem-solving skills with a proactive approach to identifying and mitigating risks.
- Comfort working with cross-functional teams across procurement, supply chain, engineering, and project management.
Work Environment
This is a fully remote position that requires consistent virtual collaboration with internal teams, suppliers, and contract manufacturers. You will work primarily with digital tools, including Microsoft Excel, Microsoft Office, and ERP systems such as SAP, Oracle, or NetSuite, to manage purchase orders, materials tracking, and documentation. The role operates in a fast-paced environment where priorities can shift quickly, and you will need to balance multiple tasks and deadlines while maintaining high accuracy and attention to detail. Communication is primarily conducted via email, virtual meetings, and other online collaboration platforms, and you will work independently while staying closely aligned with project and supply chain objectives.
Job Type & LocationThis is a Contract position based out of Wilmington, MA.
Pay and BenefitsThe pay range for this position is $35.00 - $48.00/hr.
