Position Summary
STS is seeking an Operations & Executive Assistant to add capacity to our administrative and sales support functions. This role supports day-to-day administrative tasks and sales-related coordination while being cross-trained across multiple departments and operational functions. The Operations & Executive Assistant reports to the People & Operations Manager and works closely with members of the sales and operations teams to ensure accurate documentation, timely follow-up, and smooth internal coordination. This position is well-suited for someone early in their career who is organized, dependable, and interested in learning how a multi-location dealership operates.
Key Responsibilities
Administrative Support
- Provide general administrative assistance to sales and operations teams
- Manage inbound calls, emails, and internal requests
- Assist with document preparation, filing, and record maintenance
- Support scheduling, follow-ups, and task tracking
- Help maintain accurate and organized records across departments
Sales Support
- Assist with administrative and coordination tasks related to sales activity
- Help prepare and organize sales-related documentation
- Maintain customer and account information in internal systems
- Run basic reports and assist with compiling sales activity summaries
- Support account and territory organization as directed
Cross-Functional Support & Training
- Cross-train in a variety of administrative and operational tasks
- Provide support across Sales, Service, Parts, Accounting, and Operations as needed
- Learn internal systems, workflows, and dealership processes
- Assist with maintaining consistency and follow-through across teams
- Assist with other tasks and responsibilities as assigned
Experience Desired
- Entry-level candidates encouraged to apply
