Job Summary
We are seeking a highly organized and detail-oriented Assistant Project Coordinator to join our growing team. The Assistant Project Coordinator provides administrative and operational support to the Project Management team by assisting with documentation, customer communication, scheduling, data entry, and project coordination tasks.

Responsibilities
- Provide day-to-day administrative support to Project Coordinators and Project Managers.
- Assist with project setup, documentation, and maintaining accurate project files.
- Update project information in company software and ensure records remain current.
- Support customer communication by providing updates, scheduling appointments, and responding to routine inquiries.
- Coordinate with vendors, suppliers, and internal departments to help keep projects moving efficiently.
- Prepare project documents, work orders, purchase orders, and other administrative paperwork.
- Assist with scheduling inspections, deliveries, and project milestones.
- Perform data entry, document proofreading, filing, and record management.
- Utilize Microsoft Office Suite and Google Workspace to create, edit, and maintain project documentation.
- Support office operations by answering phones, greeting visitors, and assisting with general administrative duties.
- Help maintain office organization, inventory, and supplies.
- Perform additional administrative tasks as assigned to support the Project Management department.
Qualifications
- Previous experience in an administrative, office support, coordinator, or customer service role preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Comfortable learning new software and maintaining accurate data entry.
- Ability to prioritize multiple tasks and adapt in a fast-paced environment.
- Professional phone etiquette and strong customer service skills.
- Experience in construction, scheduling, project coordination, or office administration is a plus but not required.
- Experience with QuickBooks or similar software is beneficial but not required.
- Bilingual abilities are a plus.
