The Role
We are looking for a Systems-Focused Operations & Project Manager to serve as the "Air Traffic Controller" of our team.
You will sit at the intersection of our Account Management team and our Department Leads (SEO, PPC, Web, and Content). Your mission is to ensure that while our creative and technical teams are doing great work, the business side of the marketing campaigns runs like a well-oiled machine.
Phase 1 (The Foundation): Your immediate priority will be owning and refining our ClickUp environment. You will work with department heads to build robust task templates, standardized workflows, and clear SOPs. Phase 2 (The Evolution): Once our systems are rock-solid, you will help us integrate AI into operations—building custom GPTs that leverage our new SOPs to help the team work faster.
What You’ll Do (Responsibilities)
- Central Project Management: Act as the bridge between the Client/Account Managers and the execution teams. You ensure that when a new campaign starts, the work flows seamlessly to the right specialists with clear deadlines.
- System Architecture (ClickUp): Own our project management tool (ClickUp). You will build and optimize task templates, automations, and dashboards to ensure nothing falls through the cracks.
- Process Documentation (SOPs): Identify bottlenecks in our delivery process. If a handoff between SEO and Web is clunky, you fix it and document the new Standard Operating Procedure (SOP).
- Resource Planning: Monitor team bandwidth. If the Web Department is overloaded, you spot it before a deadline is missed and help re-prioritize.
- Future-Proofing with AI: As you solidify our processes, you will identify opportunities to create internal AI tools (like custom GPTs) that align with the systems you’ve built.
- Quality & Consistency: Ensure that all deliverables meet our standards before they reach the final review stage.

- Marketing Fluency: Whether you gained it at an agency or in-house, you understand digital marketing. You know the difference between an SEO audit and a PPC campaign, and you understand the dependencies between them.
- AI Affinity: You are comfortable with technology and excited about the potential of AI to improve operations down the road.
- Emotionally Intelligent: You can firmly hold a deadline with a creative team member while maintaining a positive, supportive relationship.
- High Capacity: You are comfortable managing multiple projects and timelines simultaneously without getting overwhelmed.
Requirements
- 3 Years of Experience in Operations, Project Management, or Marketing Management.
- Environment: Experience working in a Digital Marketing Agency is preferred, but we happily accept candidates with strong In-House Marketing experience (e.g., you managed the marketing operations for a single company).
- Deep familiarity with ClickUp (or similar enterprise PM software like Asana, Monday, etc.).
- Experience managing cross-functional workflows (e.g., coordinating a web developer and a copywriter for a single project).
- Strong written and verbal communication skills.
- Bonus: Experience creating or using Standard Operating Procedures (SOPs).
