We are looking for a highly organized and detail-oriented Billing Manager to join our team.
About the Role
The Billing Manager will oversee all aspects of client billing and cost accounting across the agency. This person will work closely with account leads, project managers, production teams, and the executive team to ensure invoices are accurate, timely, and aligned with client contracts and scopes of work. This role is essential in helping us maintain strong relationships with our clients and ensuring internal clarity on project financials.
Responsibilities
- Manage all client invoicing, including monthly retainers, production jobs, media buys, and pass-through expenses
- Review project scopes, change orders, and contracts to ensure billing accuracy
- Maintain and reconcile job cost reports, ensuring all hours, vendor invoices, and expenses are correctly allocated
- Partner with project managers and account leads to track budgets and flag issues early
- Monitor and manage accounts receivable; follow up with clients on outstanding invoices
- Prepare financial reporting for leadership related to revenue forecasting, billing status, and job health
- Support annual financial audits and assist in improving internal billing processes
- Work within agency systems such as Function Point, Asana, QuickBooks, and related tools
- Coordinate with vendors to ensure timely receipt and processing of incoming invoices
- Identify opportunities to streamline workflows and improve billing accuracy and efficiency
Qualifications
- 3–5 years of experience in billing, accounting, or financial operations
- Strong preference for candidates who have worked in a marketing agency, creative firm, media company, or production environment
- Familiarity with job cost accounting
- Experience with invoicing systems or agency project management platforms (Function Point experience a plus)
- Strong analytical skills and high attention to detail
- Ability to work cross-functionally and communicate clearly with both internal teams and clients
- Comfortable working in a fast-paced, deadline-driven environment
- Proficient with Excel/Sheets and accounting software such as QuickBooks
- Ability to manage multiple priorities while maintaining accuracy
