What are the responsibilities and job description for the Full Charge Bookkeeper position at StraussGroup - Executive Search Consultants?
Our client is a well-established, family-owned specialty retailer with over 45 years of history in Western New York. They operate three brick-and-mortar locations alongside a growing e-commerce and online sales presence, generating $3–5M in annual revenue.
This is not a data entry job. This is the financial backbone of a growing, cash-flow-sensitive retail business — and they need someone they can trust completely.
What You'll Own
- Full-cycle bookkeeping in QuickBooks Online (their primary system)
- Daily journal entries from POS reports and sales reconciliation across multiple platforms
- The full AP cycle — vendor invoices, weekly payment runs, ACH and credit card payments, W-9 and 1099 tracking
- A weekly 13-week cash flow projection (template is built — plug and play)
- Payroll processing through the company's payroll provider, including specialty staff pay and sales commissions
- Multi-state sales tax compliance across brick-and-mortar and e-commerce channels
- Bank reconciliation across multiple accounts and multiple legal entities (two are simple holding LLCs)
- Monthly close: P&L, Balance Sheet, A/P aging, cash flow, inventory turns, commissions — presented in a format ownership can actually use
- Year-end CPA-ready financials and support of the external CPA through close
- Brief daily check-ins with ownership (10–15 minutes) for cash flow and operational alignment
- Light HR tasks like onboarding paperwork — fully trainable, very low volume
What We're Looking For
- 5 years of hands-on bookkeeping or accounting experience; QBO proficiency required
- A true self-starter; ownership is not in accounting and needs a partner who solves problems independently
- Unquestionable integrity and discretion — this person will have full visibility into the company's finances
- Strong Excel including pivot tables; able to make data digestible for non-financial stakeholders
- Clear communicator who translates numbers into plain language
- Associate's degree or higher in Accounting, Finance, or a related field preferred
- Multi-state sales tax knowledge — particularly for e-commerce — is a meaningful differentiator
Compensation & Benefits
- $70,000–$80,000, based on experience
