We are a fast-growing wholesale distribution business serving smoke shops and retail locations throughout Oregon. We are looking for a dependable, organized Warehouse Operations & Inventory Coordinator to help keep our warehouse accurate, efficient, and ready to support continued growth.

This position is ideal for someone who is detail-oriented, comfortable working in inventory systems and spreadsheets, and capable of balancing administrative work with hands-on warehouse responsibilities. You will work directly with management to support purchasing, receiving, inventory accuracy, order fulfillment, shipping, and retail store replenishment.

This is not just a packing position. We need someone who takes pride in keeping operations organized, noticing problems before they become bigger issues, and following processes accurately every day.

Key Responsibilities

  • Receive incoming inventory and verify quantities, product details, costs, and vendor paperwork.
  • Enter and maintain purchase orders, invoices, product costs, UPCs/barcodes, and item information in inventory systems.
  • Organize packing slips, invoices, vendor documents, and receiving records.
  • Pull, pack, and prepare wholesale and retail replenishment orders accurately.
  • Assist with outbound shipping, label creation, tracking, and shipment issue resolution.
  • Maintain warehouse organization, product locations, and clean receiving/shipping areas.
  • Help perform cycle counts, full inventory counts, and research inventory discrepancies.
  • Assist with keeping product information, categories, SKUs, barcodes, and costs accurate in company systems.
  • Coordinate with management on inventory priorities, low-stock items, product arrivals, and order deadlines.
  • Help build and prepare inventory replenishment orders for company retail locations.
  • Communicate clearly about damaged product, missing items, receiving discrepancies, backorders, and inventory concerns.
  • Follow established procedures for handling age-restricted products and maintaining accurate inventory records.
  • Support general warehouse operations as needed, including moving, stocking, organizing, and preparing product for delivery or pickup.
  • What We Are Looking For
  • Strong attention to detail and ability to stay organized in a fast-moving environment.
  • Comfortable using computers, spreadsheets, inventory systems, and email.
  • Experience with receiving, purchase orders, shipping, inventory control, warehouse operations, or administrative support is strongly preferred.
  • Ability to follow systems and check work carefully before completing tasks.
  • Reliable attendance, good time management, and a strong sense of personal accountability.
  • Comfortable working independently while communicating clearly with a manager and team.
  • Able to lift and move boxes weighing up to 30–50 pounds.
  • Able to stand, walk, bend, lift, and work in a warehouse environment throughout the day.
  • Professional communication skills and a calm approach when priorities change.
  • Must be at least 21 years old due to the nature of products handled.

Preferred Qualifications

  • Experience in wholesale distribution, smoke shop, vape, convenience, retail, or inventory-heavy environments.
  • Experience with Shopify, POS systems, barcode scanners, shipping platforms, or inventory software.
  • Familiarity with UPS shipping, packing orders, and tracking shipments.
  • Experience with cycle counts, inventory reconciliation, receiving, or purchase-order entry.
  • Basic Excel or Google Sheets experience.

What Success Looks Like in This Role

The right person will help make sure inventory is received correctly, orders go out accurately, warehouse paperwork stays organized. Your work will directly help the company protect inventory, serve customers better, keep retail locations stocked, and continue growing.

Compensation

Pay will be based on experience, reliability, warehouse/inventory background, and ability to take ownership of the role.
