Job Description:
The SSL Events Coordinator provides comprehensive planning and logistical support for high-impact strategic leadership events conducted by the School of Strategic Landpower (SSL) at the U.S. Army War College (USAWC). This position is responsible for the seamless coordination, execution, and documentation of educational engagements involving senior government, military, industry, and academic leaders.

Key Responsibilities:

Plan, coordinate, and execute SSL-hosted events:

  • Army Leader Day
  • Industry Day
  • National Security Staff Ride #2 (Washington, DC)
  • National Security Staff Ride #3 (New York City)
  • National Security Seminar Week

Collaborate with USAWC stakeholders including Action Officers, Academic Executive Officers, Operations Assistants, Educational Technicians, the Contracting Officer’s Representative (COR), and other Points of Contact (POCs).

Coordinate all administrative and logistical aspects of each event:

  • Draft and manage invitations and thank you letters.
  • Track participant responses and confirm arrangements.
  • Arrange travel and lodging for VIP guests.
  • Organize meals, receptions, security access, facility reservations, and audiovisual support.
  • Prepare guest Read-Aheads and briefing materials.
  • Coordinate seminar assignments and escort duties.
  • Manage acquisition and presentation of mementos.
  • Conduct post-event photo distribution and documentation.

Attend and brief USAWC leadership during coordination meetings at major planning milestones:

  • D-180 (Integrated Master Calendar entry)
  • D-75 (Commander Guidance Briefing)
  • D-60 (G3 Operations Synch Briefing)
  • D-45 (Operations Order and Event Tracker input)
  • D-30 and D-14 (In-Progress Reviews)

Maintain and submit detailed After-Action Reports and an electronic Continuity Book for each event, including:

  • Planning documents, correspondence, personnel rosters, seminar slates, POC information, travel and lodging plans, remarks and introductions, and event schedules.
  • Copies of invitation letters, thank you letters, speaker briefing slides, release forms, VIP seating charts, and audiovisual work orders.

Post all planning documentation to the USAWC server/portal and ensure continuity books are submitted no later than June following each academic year.

Serve as on-site lead during travel to Washington, DC and New York City for staff rides, operating out of the USAWC Operations Center or assigned locations.

Provide real-time coordination and troubleshooting support during event execution.

Required Qualifications:

Subfactor 1: Teaching Experience

  • Minimum one year as a faculty instructor at an accredited graduate degree-granting institution.
  • Completion of a two-year assignment as a faculty instructor at a Senior Service College, teaching graduate-level courses.
  • OR completion of a two-year assignment as a faculty instructor at the U.S. Army War College, teaching graduate-level courses.

Subfactor 2: Education & Professional Military Qualifications

  • Graduate of a Senior Service College or a Department of Defense-accredited Senior Service College Distance Education Program.
  • Joint Professional Military Education (JPME) Phase II qualification preferred.
  • Joint Qualified Officer (JQO) designation preferred.

Subfactor 3: Academic Event Coordination

  • Demonstrated experience planning and executing lectures, workshops, conferences, class activities, and related events at a Senior Service College or the U.S. Army War College.

Subfactor 4: Senior Leader Engagement

  • Experience working with senior leaders in government, business, industry, academia, and NGOs, particularly while serving as a faculty or staff member at a Senior Service College or the U.S. Army War College.

Subfactor 5: Technical Skills

  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Ability to navigate computer systems, manage files, and troubleshoot basic login and connectivity issues.
  • Strong written and verbal communication skills.
