We are looking for a talented Customer Service Representative who will play a key role in ensuring smooth daily operations by managing communication between clients and field teams.
Position Summary
As a Customer Service Representative, you will serve as the first point of contact for incoming calls and service requests. You will be responsible for dispatching crews, vehicles, or field units to appropriate locations while monitoring their status to ensure timely service delivery. The role requires strong organizational skills, the ability to think critically, and the capacity to manage multiple tasks simultaneously in a fast-paced environment. Your calm and professional demeanor during high-pressure situations will be crucial in maintaining operational efficiency and client satisfaction.
Key Responsibilities
- Receive and process service requests: Handle incoming calls and requests, accurately documenting information in our system.
- Provide timely solutions: Evaluate and respond to customer inquiries and requests, offering clear and effective resolutions.
- Dispatch field teams: Coordinate and dispatch crews or vehicles to appropriate locations based on priority, urgency, and proximity.
- Monitor status: Track the progress and location of field teams in real-time, adjusting schedules or routes to ensure efficiency.
- Communicate effectively: Act as the liaison between customers, field teams, and other departments to facilitate seamless communication.
- Maintain accurate records: Input data into our system promptly and manage documentation for all service requests, dispatches, and follow-up actions.
Key Qualifications and Skills
- Experience in dispatching or customer service (preferred): Previous experience in a similar role, especially in a service industry (e.g., HVAC, plumbing), is a plus.
- Proficient communication skills: Strong verbal and written communication skills in English are essential for effective interaction with customers and teams.
- Technology adeptness: Competency in using dispatch systems, databases, and general office software (e.g., Microsoft Office, CRM systems) to input and retrieve data.
- Multitasking and time management: Proven ability to handle multiple priorities simultaneously while staying organized and focused.
- Problem-solving abilities: Strong critical thinking skills and sound judgment, especially in dynamic or emergency situations.
- Team player: Collaborative mindset with the ability to work both independently and as part of a larger team.
Education and Experience
- High school diploma or equivalent required.
- Experience in customer service or dispatch operations preferred.
- Typing skills with experience in data entry is a plus.
