Position Overview: We are seeking a Part-Time Workshop Coordinator to support our educational workshops by managing on-site logistics, assisting attorneys, and supporting attendees throughout the event.
This is a hands-on, client-facing role ideal for someone who is organized, reliable, and comfortable interacting with the public. The Workshop Coordinator serves as the firm's on-the-ground representative at events, ensuring that workshops are set up properly, participants feel supported, and follow-up scheduling is handled accurately.
Location: Naples, Florida
Schedule: Tuesday-Thursday, approximately 4:00PM – 10:00PM. This role requires regular evening availability.
Core Job Duties:
Workshop Setup and Facilitation
- Pick up workshop materials from the office prior to events
- Transport materials to event venues
- Set up rooms, signage, registration tables, and materials according to firm guidelines
- Assist attorneys during workshops by managing logistics and handling attendee needs
- Troubleshoot basic technical and logistical issues during events
Attendee Support and Scheduling
- Greet attendees and assist with check-in
- Answer general questions about the workshop process and next steps
- Schedule follow-up appointments with attorneys during or after the event
- Ensure a professional, welcoming experience for all participants
Data and Follow-Up Support
- Collect attendee check-ins, evaluations, and feedback
- Maintain accurate records of attendance and scheduling outcomes
- Handle attendee information with care, confidentiality, and professionalism
Continuous Improvement
- Track basic workshop metrics (attendance, scheduling outcomes, feedback)
- Share observations and suggestions to improve event flow and attendee experience
- Support the refinement of workshop procedures and best practices

- Workshops start and end on time and run smoothly
- Attendees feel welcomed, informed, and supported
- Follow-up appointments are scheduled accurately and consistently
- Materials, data, and feedback are captured and returned promptly

- Availability to work Tuesday – Thursday evenings (4:00 PM – 10:00 PM)
- Reliable transportation and ability to travel to multiple event locations (mileage reimbursed)
