Jr. HR Specialist
Position Summary: Under the general guidance of the Assistant Director of Human Resources, the Junior Human Resources Specialist performs a variety of administrative and operational HR functions within established guidelines to support StaffCo/Stony Brook Eastern Long Island Hospital. This role is responsible for supporting day-to-day Human Resources activities, including recruitment and onboarding, employee record maintenance, employee inquiries, and policy compliance. The Junior HR Specialist serves as a key liaison between employees and the Human Resources department by managing administrative processes and supporting efficient, high-quality HR operations.
Job Duties & Essential Functions:
- Support recruitment activities, including posting job requisitions, coordinating with internal and external candidates, initiating background screenings, generating offer letters, and assisting hiring managers with applicant tracking system (ATS) processes.
- Support smooth and compliant onboarding and offboarding processes, including preparation of employment documentation and coordination with cross-functional partners.
- Partner with Talent Acquisition as needed to ensure a seamless candidate-to-employee transition experience.
- Collaborate with HR team members to plan and facilitate new hire orientation and onboarding activities; present orientation content related to HR policies and procedures as needed.
- Respond to routine employee inquiries and provide timely, accurate information related to HR policies, procedures, and processes.
- Liaise with employees, supervisors, managers, and coworkers to assist with issue resolution and administrative support.
- Coordinate the annual purge of outdated HR records.
- Perform administrative and operational support functions, including file maintenance and auditing, scanning files, report generation, invoice reconciliation and payment processing, and preparation of correspondence.
- Maintain strict confidentiality regarding personnel matters, employee relations issues, legal actions, terminations, and organizational plans.
- Provide guidance and support to ensure compliance with organizational policies, procedures, federal and state employment laws, and EEOC regulations.
- Perform other duties as requested, directed, or assigned.
Required Experience & Qualifications:
- Bachelor’s degree in Business Administration, Human Resources, or a related field and a minimum of one (1) year of HR administrative experience; or, in lieu of a degree, at least three (3) years of full-time Human Resources experience.
- Working knowledge of general Human Resources practices and employment regulations.
- Strong organizational skills with the ability to prioritize, plan, and manage multiple administrative tasks
- Strong attention to detail and analytical skills; ability to work methodically and accurately in a fast-paced environment.
- Strong communication and interpersonal skills.
- Excellent customer service orientation and ability to work effectively as part of a team.
- Proficiency in Microsoft Word, Excel, and Outlook.
Demonstrated understanding of the importance of employee and organizational confidentiality.
Preferred Experience & Qualifications:
- Experience working as an HR Assistant or a similar role.
- Human Resources experience in a healthcare environment.
- Experience working in a unionized setting.
- SHRM and/or PHR certification.
- Experience with ADP, HRIS platforms, and HealthStream (LMS).
- Experience using an applicant tracking system, preferably Taleo.
Advanced Excel skills.

- Meet Regulatory Requirements for pre-employment screenings.
- Provide a copy of any required New York State license(s)/certificate(s).
Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.
