The Administrative Assistant will provide office support to the ongoing operations at North Suffolk Cardiology (NSC). Duties and responsibilities include, and are not limited to, record-keeping of employee files, meeting agendas and minutes, vendor logs, A/P transaction logs, licenses/ certifications, office supply inventory, and other reports. Additional duties include scheduling of business meetings for NSC managed partners, director of operations, physician(s)/ physician group, and department units. Meeting agendas, minutes, food/ beverages, and meeting materials will be coordinated through the meeting organizer and Office Supervisor.
This position will report directly to the Office Supervisor and will be primarily located at NSC headquarters at 45 Research Way, Suite 206, East Setauket, NY.
Job Duties and Responsibilities:
- Maintain license and registration documentation for all clinical support staff. This includes ACLS/ BLS certification, DEA renewal, and other license maintenance required by the state to service patients.
- Work directly with the corporate credentialing office and external, hospital credentialing offices to maintain medical staff privileges for our (9) advanced practice providers.
- Store and log business service agreements that pertain to on-going business operations at NSC.
- Maintain centralized storage of practice and clinical contracts.
- Ensure contracts are current and maintain record of expired and termed contracts.
- Maintain record of rate and term agreements for practice and clinical contracts.
- Assist with scheduling of all business meetings for NSC managing partners, director of operations, physician(s)/ physician group, and department units.
- Ensure meetings are maintained timely, and communication regarding cancellation of meetings is sent ahead of time.
- Distribute meeting agendas and meeting minutes within appropriate timeframe (1-2 days before/ after meeting)
- Keep record of all NSC meeting agendas and minutes in centralized location.
- Ensure all meeting materials are prepared in advance and distributed in a timely manner.
- Maintain patient schedules for advanced practice providers in NSC scheduling system.
Qualifications:
- High school diploma required.
- Minimum of 1 year in an administrative role required.
- Bachelor’s degree in business and/or business administration preferred.
- Prior experience in Excel, MS Teams, MS Outlook, and MS Word required.
- Candidates must be detail-oriented and can demonstrate the ability to multi-task while meeting deadlines.
Physical Demands: Must be able to sit for long periods of time and must have manual dexterity to work on computer systems and keyboard.
