Stone Ridge is seeking an Administrative Assistant to the Facilities department to begin work in January 2026.

Stone Ridge School of the Sacred Heart, a member of the international Network of Sacred Heart Schools, is a Catholic, independent college preparatory school for girls, Grades 1-12, with a co-educational Early Childhood Program, Pre-Kindergarten, and Kindergarten in Bethesda, Maryland. The Administrative Assistant for Facilities must be a highly organized and detail oriented individual with excellent communication skills tasked with creating a welcoming environment at the Facilities Department. This individual’s primary role is to provide a constant daily presence in the Facilities Building and enhance the ability of the Department to continue providing excellent customer service to faculty, staff and students. This position reports to the Director of Facilities.

Position responsibilities:

  • Check-in all contractors and vendors utilizing our visitor management system
  • Distribution and organization of keys
  • Contractor keys
  • Building keys
  • Vehicle keys
  • Answering phone calls
  • Daily oversight for access control system, including creating door schedules for special events
  • Assist with submission and recertification of all permits, licenses and inspections
  • Manage the employee driver qualification process
  • Invoice Processing
  • Purchase materials and supplies to support facility operations
  • Receiving, recording, and handling of shipments
  • Approve all SR vehicle reservations
  • Create and edit work orders and preventative maintenance tickets
  • Record keeping
  • Emergency drill assistance

General:

  • Agree to the terms of the Employee Handbook and acknowledge the Employee Handbook as an extension of this job description
  • Perform other duties as assigned
  • This job description is subject to change at the discretion of the Director of Facilities
  • Work hours - 7:30AM - 4:00 PM

Essential skills and experience:

  • Bachelor’s Degree
  • Experience with Microsoft Word & Excel & PowerPoint
  • Excellent interpersonal communication skills
  • Bi-lingual (Spanish & English)
  • Strong ability to problem solve under pressure
  • High level of attention to detail and follow-through skills

Valued but not required skills and experience:

  • Experience working in an educational setting
  • General knowledge of building systems and the trades a plus
  • Approve all SR vehicle reservations
  • Create and edit work orders and preventative maintenance tickets
  • Record and documentation keeping
  • Emergency drill assistance
