Stogner Architecture, PA is seeking an Administrative Assistant / Project Coordinator to join our commercial architecture firm in Rockingham, NC. Ideal candidates will have experience in general office administration. We are seeking a detail-oriented problem solver who desires a learning environment.
He or she must be very motivated and well organized, have the initiative to complete work independently, and be able to manage time well in order to complete time sensitive projects. Attention to detail is a must.
DUTIES
Duties and Responsibilities consist of but are not limited to the following:
- Coordinate projects during all Phases of Design (PreBid, Bidding, Contract Awards Phase, Construction Administration and Close Out)
- Communicate with Clients and Contractors
- Type and assemble Project Specification documents
- Type reports, memos, letters, meeting minutes or various other documents
- Coordinate submittals and shop drawings
- Review Contractor/Subcontractor Payrolls
- Attend to the front of our Rockingham, NC office, greeting guests and answering phones
- Provide information by answering client questions and requests
- Edit and build contract documents, including but not limited to, AIA contract documents, Change Orders and Supplemental Instructions
- Effectively handle the monitoring and ordering of office supplies
- Coordinate and handle incoming and outgoing mail including shipments via UPS, FedEx, and USPS
- Manage files through both hard copy and electronic filing management including creation of new files, filing and archiving
- Ensure all documents and correspondence are accurate, thorough and complete
- Respond to staff and client needs in a timely and effective manner
- Operate phone system and effectively route calls
- Open mail, date stamp and distribute accordingly
- Other duties, as assigned
SKILLS, COMPETENCIES, AND CREDENTIALS
- Excellent verbal and written communication, reporting and administrative skills
- Must be proficient in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
- Working knowledge of Adobe Acrobat
- AIA Contract Documents software
- Open to learning new software and applications as needed
- Must have high school diploma. College degree preferred, but not required.
- Strong commitment to excellence and high standards

Base Pay: $40,000.00 - $50,000.00 per year
