Position Summary

The Data & Inventory Operations Specialist is responsible for maintaining accurate product and inventory data across Encore Home’s brands business systems, including NetSuite, Lightspeed, and related platforms.

This role combines detailed product data management with hands-on inventory operations. The ideal candidate is exceptionally detail-oriented, organized, comfortable working across multiple systems, and willing to investigate discrepancies rather than simply entering information provided to them.

Accuracy is critical in this position. The information maintained by this role directly impacts purchasing, inventory availability, sales, eCommerce, order fulfillment, reporting, and the customer experience.

Product Data Management

• Accurately enter, update, and maintain product information within NetSuite, Lightspeed, and related systems.
• Create and maintain product records, including SKUs, item names, dimensions, pricing, descriptions, categories, vendor information, and other required attributes.
• Review source documents for accuracy and completeness before entering or updating information.
• Ensure product information is consistent across systems and sales channels.
• Perform routine data audits to identify missing information, duplicate records, inconsistencies, or errors.
• Research discrepancies and correct inaccurate product information.
• Maintain established naming conventions, SKU structures, and product-data standards.
• Support new product launches, seasonal introductions, price changes, catalog updates, and discontinued products.
• Assist with bulk uploads, imports, exports, and other large-scale product-data updates.
• Meet established timelines and quality standards for product setup and data maintenance.

Inventory Operations

• Maintain accurate inventory records within NetSuite, Lightspeed, and related platforms.
• Monitor inventory activity and assist with receiving, transfers, adjustments, allocations, and other inventory transactions.
• Investigate inventory discrepancies between physical inventory and system records.
• Research the source of variances and help correct both the immediate discrepancy and, when possible, the underlying process causing it.
• Lead and/or coordinate cycle counts, physical inventories, and inventory reconciliation.
• Review negative inventory, unusual adjustments, missing transactions, and other inventory exceptions.
• Support inventory transfers between locations and verify transactions are completed accurately.
• Work with warehouse and operations teams to ensure inventory movements are properly recorded.
• Assist with inventory cleanup and ongoing inventory accuracy initiatives.

Order & Operational Support

• Support order fulfillment workflows and help resolve inventory-related issues that could prevent orders from being fulfilled.
• Coordinate with warehouses, vendors, purchasing, sales, customer service, and logistics partners when research is needed.
• Assist with product launches by coordinating SKU creation, product setup, inventory availability, and system updates.
• Provide inventory and product data needed by leadership for operational reporting and decision-making.
• Maintain organized records and documentation supporting product and inventory transactions.
• Follow established operational and inventory-control procedures while identifying opportunities to make those processes more accurate and efficient.

Data Accuracy & Problem Solving

• Take ownership of researching data and inventory discrepancies through resolution.
• Question information that appears incomplete, inconsistent, or inaccurate before entering it into the system.
• Compare information across systems and source documents to identify potential errors.
• Identify recurring issues and communicate patterns to leadership.
• Help develop procedures, checklists, and controls that prevent errors from recurring.
• Maintain a high level of accuracy while managing a significant volume of information and competing priorities.

Qualifications

• Previous experience in data entry, inventory control, operations, product management, accounting support, or a related role preferred.
• Experience with NetSuite and/or Lightspeed strongly preferred.
• Strong Excel skills and comfort working with spreadsheets, imports, exports, and large datasets.
• Exceptional attention to detail and accuracy.
• Strong organizational and time-management skills.
• Ability to investigate problems and independently research discrepancies.
• Comfortable learning new systems and technology.
• Ability to manage repetitive, detail-intensive work without sacrificing accuracy.
• Strong written and verbal communication skills.
• Ability to work effectively across multiple departments and locations.
• Furniture, retail, manufacturing, distribution, or eCommerce experience is a plus.

We're looking for someone who genuinely enjoys making information accurate. This person notices when something doesn't look right, asks questions, researches the issue, and follows it through until it is resolved.

The right person will be highly organized, dependable, analytical, and comfortable moving between detailed computer work and operational inventory responsibilities. They should be able to work independently while also communicating effectively with teams throughout the organization.

Success in This Role

Success will be measured by increasingly accurate product and inventory information, timely product setup, fewer system discrepancies, well-executed cycle counts and reconciliations, and the ability to identify and resolve issues before they create downstream problems for Sales, Purchasing, Operations, Accounting, or our customers.

As the position develops, this role will take increasing ownership of data integrity across NetSuite and Lightspeed, proactively identifying and preventing errors rather than simply correcting them after they are discovered.
