The Opportunity
As an Office Administrator (Front Desk & Customer Experience) at Stillwell, you will be the first point of contact for our Burnsville facility, setting the tone for professionalism, responsiveness, and customer care. This role manages inbound calls and front-desk communication, supports candidate and customer inquiries through accurate routing and follow-up, and helps coordinate key office operations that keep the business running smoothly.
You will also provide administrative and executive support as needed, including calendar coordination, travel arrangements, and other operational tasks that support leadership and cross-functional teams.
Key Responsibilities
- Answer and professionally route inbound calls, ensuring accurate message taking and timely follow-up
- Identify caller needs (candidate, customer, vendor, freight, internal) and connect them with the appropriate team member
- Maintain and update internal call-routing directories, contact lists, and shared inboxes/voicemail as needed
- Provide clear guidance to candidates and visitors, ensuring a helpful and professional first impression
- Support new hire first-day logistics when assigned (badges, PPE kits, visitor coordination)
- Maintain inventory and reorder office, breakroom, and operational supplies
- Coordinate and track facilities service requests (HVAC, lighting, janitorial, building issues) to resolution
- Receive, sort, and distribute incoming mail, packages, and important documents
- Track office subscriptions and service vendors (postage meter, water service, printers, etc.)
- Provide administrative support for leadership including calendar coordination, meeting scheduling, and travel arrangements
- Coordinate conference rooms, visitor logistics, and internal meetings as needed
- Maintain simple logs and directories and identify recurring issues to improve communication and office efficiency
What You Bring
- High school diploma or equivalent
- 1 years of experience in office administration, receptionist/front desk, or customer service (manufacturing/industrial environment preferred)
- Strong phone presence and customer service skills, including professional communication and sound judgment in triage/routing
- Ability to stay calm, organized, and effective when handling urgent, high-volume, or escalated calls
- Strong attention to detail for message accuracy, follow-up tracking, and log maintenance
- Proficiency with common office tools (Outlook, Teams, Word/Excel) and comfort learning internal systems
- Reliable follow-through and the ability to manage multiple priorities without reminders
- Discretion and professionalism when handling candidate and business-sensitive information
- Continuous improvement mindset—willing to identify recurring issues and propose simple, effective fixes
Preferred Qualifications
- Experience handling high call volumes in a professional environment and routing across multiple departments
- Experience with multi-line phone systems and/or shared mailbox workflows
- Experience coordinating vendors and tracking facilities service requests to completion
- Familiarity with basic purchasing processes (reorder levels, subscription tracking, invoice routing)
- Prior experience in a fast-paced, customer-facing environment supporting multiple departments
