As the first point of contact for visitors, customers, vendors, applicants, and employees, this role is essential in creating a welcoming and positive impression of our company. The Front Desk Receptionist will provide vital administrative support to executive leadership, Human Resources, and various departments, ensuring smooth daily operations in a fast-paced environment. Responsibilities
- Greet and assist all visitors, customers, vendors, contractors, and applicants entering the facility, ensuring a professional and welcoming experience.
- Answer, screen, and direct incoming multi-line phone calls promptly and courteously.
- Maintain visitor logs, issue visitor badges, and ensure compliance with company security procedures.
- Keep the reception area clean, organized, and presentable at all times.
- Provide administrative support to executive leadership and department managers, including preparing meeting materials and assisting with special projects.
- Coordinate conference room schedules, meeting logistics, and travel arrangements for employees and visitors.
- Manage incoming and outgoing mail, shipments, and package deliveries.
- Maintain office supply inventories and process purchasing requests as needed.
- Assist with document preparation, filing, scanning, record retention, and data entry.
- Support Human Resources by welcoming candidates, coordinating interview schedules, assisting with onboarding activities, and maintaining confidential personnel files.
- Assist with employee communications, recognition programs, company events, and engagement initiatives.
- Serve as a liaison between departments and leadership to ensure timely communication and follow-up.
- Support company-wide initiatives and administrative projects as assigned.
- Handle sensitive business and personnel information with the highest level of confidentiality and professionalism.
- Comply with all company safety policies and procedures, especially when entering production areas.
- Perform other duties as assigned to support changing business needs.
Qualifications
- High School Diploma or GED required.
- Associates degree in Business Administration or related field preferred.
- Minimum of 3 years of experience in receptionist, executive administrative, office management, or customer service roles in manufacturing, industrial, construction and environment preferred.
- Experience supporting executive leadership strongly preferred.
- Previous experience in manufacturing, industrial, construction, or engineering environments preferred.
- Exceptional verbal and written communication skills.
- Excellent customer service and relationship-building abilities.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint).
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and frequent interruptions in a fast-paced environment.
- Professional presence and demeanor with all levels of the organization.
- Ability to maintain strict confidentiality and exercise sound judgment.
- Strong problem-solving and critical-thinking skills.
