we now have an exciting temp to perm opportunity for a proactive, bubbly and, bright full-time Front Desk Office Assistant! If you can work Monday through Friday, 8:30AM to 5:00PM, have the flexibility to work overtime, including coming-in early and/or staying late, and are seeking a fun, fast paced environment where employees are hands-on and take pride in what they do - than this role might be for you! This position is based out of our stunning office in Suffolk County, LI.
In addition to going above and beyond in making everyone feel welcome, our ideal candidate will be responsive, reliable, organized, have a "can-do" attitude, she/he/they will take the initiative without being asked. We are looking for another STAR who will fit in with the rest of the team.
How You'll Help Us Be Successful:
- Provide superior customer service in-person and over the phone to staff, clients, and guests.
- Warmly meet and greet visitors as they arrive; advise appropriate staff members.
- Professionally answer, screen, and respond to inquiries, as well as transfer calls from a multi-lined phone.
- Receive/sort/distribute mail and small deliveries.
- Perform general office and clerical duties including scheduling and setting up conference rooms, food runs for meetings, filing, copying, scanning, and running errands when needed.
- Maintain an updated inventory of kitchen, conference room, and office supplies.
- Order supplies as needed to keep basic supplies stocked and fulfill special requests from staff.
- Ensure the reception area is kept organized and clean and maintain the upkeep of the conference room including tidying-up after each meeting.
- Secure and lock the front door daily and adjust the lobby thermostat after hours.
- Update and maintain the office phone list, email distribution lists, and other similar systems.
- Assist with special events, including managing RSVP lists, event attendance, providing additional support and assisting as needed.
- Perform additional administrative duties such as, mailings, data entry, and assisting various departments with special projects.
What You'll Need To Be Successful:
- 2 years of proven experience in an office setting and as a receptionist, front office representative, or a related position
- High school diploma, associate’s/bachelor’s degree
- Ability to provide exceptional customer service over the phone and in-person
- Self-motivated with excellent interpersonal - the ability to effectively interact with guests, and staff at all levels
- Experience working with Microsoft Office, i.e., Microsoft Word, Excel, and Outlook and general office equipment (i.e. copiers, scanners, and fax machines)
- Exceptional organizational and time-management skills
- Superior written and verbal communication skills with a positive and helpful demeanor
- Flexibility to work overtime, including coming-in early and/or staying late
- Team player with a ready smile, and the ability to thrive in a fast-paced environment
- Bilingual (English/Spanish) is a plus but not required
Salary : $18 - $22
