Accounts Receivable/Payroll Specialist
Sterling Administration is looking for an Accounts Receivable/Payroll Specialist who is a self-
motivated individual with a strong background in accounting and payroll. This position will onsite
in our Oakland office full-time then moving to a hybrid (3/2) schedule after training is complete.
Position Description
The Accounts Receivable (AR) / Payroll Specialist supports Sterling’s financial operations by
managing end‐to‐end accounts receivable processes and processing payroll on a semi‐monthly
pay schedule. This role ensures accurate billing, reconciliations, collections, and payroll
processing while maintaining compliance with multi‐state payroll requirements. The AR/Payroll
Specialist works closely with internal teams and handles sensitive financial and employee
information with a high level of accuracy, professionalism, and discretion.
Key Responsibilities
- Process semi‐monthly payroll, including wages, overtime, bonuses/commissions, and
- statutory and voluntary deductions.
- Review and validate employee time records, pay rates, banking information, and payroll-
- related personnel changes in partnership with Human Resources.
- Ensure compliance with federal, state, and local payroll tax laws and labor regulations
- across a multi‐state workforce.
- Prepare payroll‐related journal entries and ensure accurate posting to the general
- ledger.
- Process and reconcile payroll deductions and payroll feeds to third‐party benefit
- administrators and vendor platforms.
- Support core accounts receivable functions, including invoice review, adjustments,
- payment posting, and reconciliations.
- Assist with revenue data transfers from Sterling’s Asset Management system (SAM) to
- the accounting system.
- Monitor aging reports and partner with internal teams to address discrepancies, payment
- issues, and customer inquiries as needed.
- Support monthly and year‐end close activities, including journal entries and
- reconciliations.
- Participate in cross‐training and assist with special projects to support finance team
- continuity.
- Handle all information with a high level of accuracy, discretion, and confidentiality.
- Qualifications
- Certification or degree in Accounting, Finance, or a related discipline.
- 3–5 years of progressive experience in BOTH Payroll and Accounts Receivables
- required.
- Strong communication, customer service, organization, problemsolving, and attention to
- detail skills.
- Broad experience working with accounting systems and ERPs.
- Proficiency with payroll systems and payrollrelated processes.
- Ability to thrive in a fastpaced, deadlinedriven environment.
- Excellent interpersonal, written, and verbal communication skills.
- Comfort troubleshooting system issues and navigating technical challenges.
- Demonstrated ability to handle sensitive information and maintain strict confidentiality.
