Fleet & Equipment Coordinator

Position Summary

Roto-Rooter is seeking a Fleet & Equipment Coordinator to oversee the day-to-day maintenance, repair coordination, and compliance of our fleet. This position helps keep our Ford Transit service vans, CAT 304 excavators, jetter trucks and trailers, sewer inspection equipment, and support vehicles safe, reliable, and available for daily operations. Working closely with branch managers, mechanics, vendors, and the Director of EHS, this role focuses on minimizing downtime, controlling repair costs, and maintaining accurate fleet records.

Key Responsibilities

·         Coordinate preventive maintenance for Ford Transit service vans, CAT 304 excavators, jetter units, trailers, and other fleet assets.

·         Schedule repairs and communicate with local repair shops, dealerships, and equipment vendors.

·         Track registrations, license plates, DOT inspections, insurance, and warranty information.

·         Maintain maintenance records, repair history, and vehicle files.

·         Monitor vehicle downtime and help prioritize repairs to keep branches operating.

·         Coordinate installation and maintenance of GPS, dash cameras, and telematics (Motive or similar).

·         Track fuel usage and investigate unusual activity.

·         Assist with accident reporting and coordinate repairs for damaged vehicles.

·         Perform routine inspections of vehicles and equipment.

·         Maintain an inventory of fleet assets and assist with purchasing replacement vehicles and equipment.

·         Work with vendors to obtain competitive pricing for repairs and maintenance.

·         Ensure fleet vehicles meet company safety standards and applicable DOT requirements.

·         Prepare basic reports on maintenance costs, vehicle status, and fleet activity.

·         Respond to occasional after-hours fleet emergencies.

·         Perform other duties as assigned.

•    High school diploma or GED required.
•    2-5 years of experience in fleet coordination, automotive service, equipment maintenance, or a related field.
•    Working knowledge of light-duty vehicles and construction equipment preferred.
•    Experience with Ford Transit vans, CAT equipment, jetter equipment, or similar equipment is a plus.
•    Basic understanding of DOT vehicle requirements.
•    Proficient with Microsoft Outlook, Excel, and Word.
•    Experience with fleet management software is preferred but not required.
•    Strong organization, communication, and customer service skills.
•    Valid driver's license with an acceptable driving record.
Physical Requirements
•    Ability to inspect vehicles indoors and outdoors in varying weather conditions.
•    Ability to occasionally lift up to 50 pounds.
•    Occasional travel to branch locations.
•    Occasional evening or weekend work for emergency fleet issues.

Salary : $65,000 - $72,000
