What are the responsibilities and job description for the Service and Rental Coordinator position at Stephenson Equipment?
Stephenson Equipment, Inc (SEI), an industry leader in Pennsylvania, New York, Maryland, D.C., and Virginia, providing sales, rentals, parts and service for construction equipment, cranes, paving, road building and road maintenance equipment, has an immediate need for Service and Rental Coordinator in our Manassas, VA branch.
Duties include, but are not limited to:
- Handle incoming phone calls and emails pertaining to the service side of the branch
- Proactive and documented communication with customers via phone and email for updates on their units
- Follow process guidelines for communicating with customers
- Follow in house processes for the work flow and documentation
- Learn and work in vendor portals to understand their systems and how to navigate and use them
- Open, maintain and invoice service work orders - Shop or Field
- Invoice customers upon the completion of their unit
- Process and manage all warranty work orders using OEM specific portals.
- Help schedule the road service calls that cycle through the branch
- Work alongside of shop lead to schedule the work through the shop
- Assist on the rental side of the business with customers who needs rentals
- Work alongside of the Branch Manager and Shop lead to strategize ways to improve customer fleet up time
- Maintain spreadsheets for customer units as they move through the service process
- Provide a high level of customer satisfaction and have service minded abilities to put customers and their fleet first
- Maintain WIP status units, and relay information to the branch manager for anything open over 15 days
- Maintain work orders in the system and continue to check into work orders that are in process with correct status updates and information

Requirements
The best fit for our team will have:
- High School Diploma or GED; degree or certificate from college or technical school in related field; and 5 years of relevant experience or training; or equivalent combination of education and experience
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of an organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Office environment with moderate noise; computers, printers, and customer traffic. Outside work at times in all weather conditions. Work requires a combination of sitting, using hands to finger, handle, or feel, as well as standing and walking. Frequent lifting, up to 50lbs.
