What are the responsibilities and job description for the Service Advisor and Rental Coordinator position at Stephenson Equipment Inc?
Stephenson Equipment, Inc (SEI), an industry leader in Pennsylvania, Maryland, DC and New York providing sales, rentals, parts and service for construction equipment, cranes, paving, road building and road maintenance equipment, has an immediate need for Service Advisor/Rental Coordinator at our Baltimore, MD location.
Duties include, but are not limited to:
Service Advisor Duties:
- Write WO's – make sure all required signatures are obtained and unit is tagged
- Retrieve all necessary information about equipment condition at the time of write up
- Answer incoming service department phone calls and address accordingly
- File all service warranty claims within 48 hours of repair completion
- Call or e-mail customer updates to any customer that has a status change in WIP report
- Invoice all completed WO’s by the end of each shift
- Monitor and ensure WO order quality (i.e. stories, parts billed, labor billed)
- Primary contact for all communication with internal and external customers
Rental Coordinator Duties
- Rental Process: Manage the entire rental process, including logging inquiries, providing quotes, processing reservations, and preparing rental contracts.
- Equipment Management: Monitor and track equipment availability, maintenance schedules, and return dates within the rental fleet management system.
- Logistics Coordination: Schedule equipment deliveries and pickups with company drivers or external transport services and assist with dispatching tasks.
- Equipment Readiness: Collaborate with the Service Department to ensure equipment is properly serviced, cleaned, and prepared for rental.

The best fit to our team will have:
- High School Diploma or GED; degree or certificate from college or technical school in related field; and 5 years of relevant experience or training; or equivalent combination of education and experience
- Ability to read and interpret documents such as operating and maintenance instructions.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of an organization.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Office environment with moderate noise; computers, printers, and customer traffic. Outside work at times in all weather conditions. Work requires a combination of sitting, using hands to finger, handle, or feel, as well as standing and walking. Frequent lifting, up to 50lbs.
