Summary/Objective
The Product Data Coordinator is responsible for ensuring the completeness, accuracy and organization of product information across the company’s ERP system and field service software. This role focuses on maintaining item master data, updating product descriptions and pricing, processing large vendor data files, and ensuring product catalogs remain current for internal teams and field technicians. Success in this position requires strong Excel skills, a detail-oriented and data driven mindset and the ability to analyze large datasets to identify items that need to be added, updated, or removed.
Essential Functions

- Maintain and update item master data within the ERP/Field service platform, including descriptions, categories, pricing and item attributes.
- Process and analyze vendor pricing files (often hundreds of thousands of lines) to identify new, updated, or obsolete items.
- Maintain accurate product catalogs and pricing rules in field service platform (e.g., D-Tools/other platforms).
- Compare external vendor data against internal product lists to ensure data alignment and consistency.
- Coordinate with vendors to obtain current pricing, discontinued items, and new product information.
- Support Purchasing, Operations, Sales, and technical teams with accurate product data as needed.
- Perform regular data cleanup and audit activities to maintain healthy, accurate datasets.
- Prepare spreadsheets and reports highlighting data changes, discrepancies, or required updates.
- Perform other duties and responsibilities as assigned.

Work Environment/Physical Demands
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, fax machines and copy machines. Must be able to sit, stand, bend, stoop and lift up to 25 pounds.
Required Education, Experience & Abilities
- High School Diploma or equivalent (Associate degree in Business, Data Analytics, or related field preferred but not required).
- Proficiency in Excel (pivot tables, lookups, data cleaning functions).
- Experience working with ERP systems and structured data.
- Strong comfort with large datasets (100k rows).
