*This isn’t a traditional EA job — it’s a PA/EA hybrid role for someone who loves momentum, solves problems before they appear, and helps a founder and leadership team move faster every day — whether in the office, out of the office, or on the road.
The Role
This is a full-time position in the New York City metro area. You’ll work in our Manhattan office or in the air (assume travel could be a week a month). You’ll provide direct support to the CEO with a dotted line to the Chief of Staff, working closely with other EA's and PA's to ensure their schedules, meetings, and travel run seamlessly.
This role blends personal assistant and executive assistant responsibilities — you’ll be the connective force between offices, calendars, vendors, and travel logistics, ensuring smooth execution at every turn. The NYC office serves as a hub for hosting clients, partners, and investors, so professionalism, flexibility, and presence are key.
Key Responsibilities
- Provide day-to-day support to the CEO and Chief of Staff — in the office, out of the office, and on the road.
- Anticipate needs and plan ahead — from trip prep and packing to on-site coordination.
- Partner with advance teams and office staff to ensure smooth arrivals, meetings, and schedules.
- Book and manage complex travel, hotels, dining, and transportation with precision.
- Handle personal errands and time-sensitive requests with professionalism and discretion.Liaise with global teams, external partners, and vendors to maintain seamless operations.
Requirements
- Based in or able to reliably commute to the NYC metro area.
- Able to travel on short notice, occasionally for multiple days at a time.
- Prior experience as a Personal Assistant, Executive Assistant, or hybrid role supporting senior leadership or founders.
- Exceptional organization, adaptability, and written/verbal communication skills.
- Tech-savvy and comfortable managing shifting priorities across time zones.
- Preferred QualitiesExperience in startups, finance, tech, or high-growth environments.
- Familiarity with VIP coordination, complex travel logistics, or private aviation.
- Calm under pressure, naturally anticipatory, and thrives in fast-changing environments.
- Flexible, proactive, and thrives working with high-energy executives.
