Introduction


Bring your administrative and financial support experience to the Higher Educational Aids Board. This Executive Staff Secretary position supports the Executive Secretary and Administrative Policy Advisor in areas such as public relations, communications, administrative functions, and financial support.

The Higher Educational Aids Board (HEAB) is responsible for the management and oversight of the state’s student financial aid system for Wisconsin residents attending institutions of higher education. HEAB administers programs of student financial aid, including grant, scholarship and loan programs, tuition reciprocity agreements and tuition capitation contracts. Position Summary


This Executive Staff Secretary provides top-level administrative support to the Higher Educational AidsBoard, including scheduling meetings and developing agendas for the executive secretary with legislative members and otherelected/ appointed officials; processing and editing Board reports, agendas and correspondence; and collecting and analyzing datafor programs supported by the Higher Educational Aids Board.

In addition, this position will provide financial support and enter financial transaction data for Higher Educational Aids Board scholarships, grants, loans and otheraid programs into databases or spreadsheets.

Salary Information


This position is in schedule-range (81-05) with an annual salary of $38,938-$51,917 ($18.72/hr-24.96/hr), plus excellent benefits. A twelve month probationary period is required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Certain positions within this Department may allow remote/work from home flexibility for a portion of their work schedule, depending on the needs of the position and the work unit. For permanent positions that allow remote work flexibility, Wisconsin residency is not required. However, it is not anticipated that working outside of Wisconsin (or bordering cities) will be allowed because positions may at times need to report to office locations in Wisconsin on short notice.

Qualifications


Qualified applicants will have experience with all the following:

  • Experience using Microsoft Office Suite, including Access, Word, Excel and Outlook in a professional setting.
  • Experience providing administrative support for middle level management in an organization including calendar management.
  • Experience with accounts payable and accounts receivable.

In addition to having all the above, well qualified applicants will have experience with one or more of the following:

  • Experience setting priorities and exercising independent judgement.
