The Department of Corrections is seeking highly motivated and qualified individuals to fill Office Assistant 3 positions at Washington State Penitentiary (WSP).

**Note: This recruitment may be used to fill future vacancies that may occur.**

The Washington State Penitentiary is staffed 24-hours a day, 7 days a week. Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all incarcerated individuals can learn to make choices that contribute to a safer society.

The Department of Corrections (DOC), as a partner in the criminal justice system, enhances public safety, administers criminal sanctions and programs in accordance with the law and provides leadership for the future of corrections in Washington State.

The Washington State Penitentiary (WSP) is comprised of 4 Close Custody Units, 3 Special Housing Units, 2 Intensive Management Units, 2 Medium Units, 2 Minimum Housing Units and a Health Service Building. In all, WSP houses approximately 2,000 Incarcerated Individuals and employees approximately 1,100 staff.

Duties

The Office Assistant 3 tasks include the following:

  • Maintain confidentiality of information learned through job performance that is protected by Department of Corrections Policy, Federal or State Law.
  • Perform electronic mail tasks.
  • Orders, receives, and maintains office inventory following established procedures.
  • Drafts routine forms and letters; assembles reports; proofreads material making corrections for sentence structure, spelling, grammar, and punctuation.
  • Receives, sorts, and distributes mail, messages, records, office supplies, and other materials.
  • Resolves problems and responds to inquiries regarding rules, regulations, policies, department procedures, and department services.
  • Answers telephones.
  • Receives and refers visitors.
  • Reviews documents, records, or applications for completeness, accuracy, and compliance with rules and also explains action necessary to achieve compliance or approval.
  • Composes office correspondence such as requests for documentation and responses to requests for information.
  • Devises, evaluates, and revises forms for internal use.
  • Establishes and maintains complex electronic or manual file systems or data base files.
  • Prepares or assists in the preparation, complication, and coordination of reports and records such as payroll, equipment usage, purchasing, inventory, personnel, scheduling, registration, and testing.
  • Compiles and produces material such as schedules, test materials, engineering/construction reports and technical/statistical reports requiring specialized knowledge and judgment in selection and treatment of data and format. Prepares tables, charts, and graphs as required.
  • Performs complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet, and data base files, uploading/downloading, and creating footnotes and outlines. Uses spreadsheet and data base software to develop and maintain records.
  • Uses basic statistical software and recommends appropriate display of information.
  • May assist in studies, surveys, and the preparation of reports by entering and computing numerical information.

Qualifications

Required Qualifications:
  • High school diploma or equivalent
Desirable Qualifications:
  • Ability to type a minimum of 40 words per minute;
  • Intermediate word processing and spreadsheet skills;
  • Two (2) years clerical experience in an office setting.

  • Tuberculosis (TB) is a priority health issue for DOC employees. The successful candidate may be required to provide valid proof of a baseline TB skin test within 60 days from the date of hire. When positive tests result, further information, testing and treatment may also be required. Employment is not contingent upon test results.
