Location: Tacoma, WA – This position is Full-Time/Permanent/Flexible/Hybrid.

Salary: $3,495 - $4,653 Monthly.

The Opportunity:
As an Administrative Assistant 1, you will report directly to the Administrative Assistant Three and perform many different clerical duties that are detail oriented. Within DCYF Licensing Division, this clerical position will provide service for the Licensing Division Child Protective Service Investigators, Foster Care Licensors and their supervisors. This position is expected to work with minimal supervision and will assist in a variety of different tasks which must have a strict timeline for processing.

As the incumbent of this position, you will exercise complex secretarial duties, which includes processing public disclosure requests, inputting data into the Statewide Automated Child Welfare Information System (SACWIS) database, and entering inquiring people's information or "intaking" them into World Association for Children and Parents (WACAP) by Binti, composing correspondence, developing tracking logs and monitoring performance through data entry, triaging customer service contacts, complete bulk mailing as needed, assists staff by uploading audio recordings and printing/uploading photos and staff needs, and exercises independent judgment in resolving written communication, developing new work methods, procedures and strategies and clerical issues with discretion to accomplish assignments and to solve new or complex problems.

Some of what you'll do:
  • Perform administrative support duties for both supervisors and staff of LD/CPS and Foster Care Licensing units.
  • Manage straw for supervisor, assign and close cases and log all activity on monitoring Spreadsheet’s.
  • Perform gatekeeper duties by uploading audio files, transcriptions and photos into SACWIS.
  • Create files, manage storage, retrieval of file records and track location.
  • Schedule meetings, including scheduling of conference rooms.
  • Interface with law enforcement, medical professionals, school personnel, other social service specialists and department staff to provide triage and effective customer service.
  • Support Foster Care Licensing units of Social Service Staff who are responsible for licensing complaint investigations.
  • Assist in entering information into WACAP by Binti as needed.
  • Process foster home renewal and move applications.
  • Create and maintain renewal & move tracking log, licensing investigation log, and reports assigned by supervisor.
  • Develop and mail notifications to providers regarding licensing findings and mail routine correspondence letters to licensed providers.
  • Type, process, and track all certified mail, including facilities and subjects' intakes, as required under Foster Care Unit Licensing investigations and LD/CPS investigations Protocol/ Policies and Procedures.
  • Respond to Providers via telephone, email or in-person to support them through the renewal process.
  • Respond to inquiries from the public.

Required Qualification(s):
  • One (1) year of increasingly responsible office experience requiring keyboarding or typing.
OR
  • Equivalent education and experience totaling one (1) year of increasingly responsible office experience requiring keyboarding or typing.
AND
  • Commitment to equity, inclusion, and respectful workplace principles.

In addition to those required qualifications, our ideal applicant will also have some or all the following:
  • Demonstrated intermediate/advanced levels of computer literacy including the ability to perform intermediate/advanced tasks in various computer programs including Microsoft Word, Excel, Outlook, and Famlink database.
  • Demonstrated ability to work independently and prioritize workload.
  • Demonstrated ability respect and maintain confidentiality.
  • Demonstrated skills in keyboarding or typing accurately at a net speed of 50 words per minute or faster.
