Under general supervision, serves as administrative coordinator to the Director of Administration (DOA).

  • Processes office mail to include opening, logging, sorting, and distributing mail to appropriate staff and/or sections.
  • Assists the Director of Administration with various administrative tasks and program related tasks. Prepares correspondence and other documents/emails on behalf as directed by DOA. Sets up Westlaw accounts for end users and assists with coordinating Westlaw training as needed.
  • Assists with maintaining Office Corporate Directory, updating, managing the Office Intranet content and assists with on-boarding. Distributes, maintains legal books, and updates master list of distributed books.
  • Manages and supervises the primary receptionist; serves as the primary back-up receptionist for the Office; ensures receptionist calls are being handled promptly and efficiently. Assists with training new receptionist(s) on procedures and guidelines. Monitors conference room schedule for approval of use.  
  • Works closely with Constituent Services. Serves as backup administrative assistant for the Chief Deputy Attorney General as needed.  Assists with other duties as assigned.
  • Completes Position Description and Employee Performance Management System process for assigned employees.
  • Manages the receptionist and carries out required administrative management job functions.

A high school diploma and three or more years of relevant experience in business management, public administration, or administrative services or a bachelor's or associate degree may be substituted for the required work experience.

Additional Requirements:

  • Position requires a valid driver’s license and occasional driving. 
  • Position may require frequent stooping and/or bending. 
  • Position may require lifting: 25 lbs. Must be able to work with public.
  • Knowledge of agency policies, procedures, rules, regulations and program services. 
  • Knowledge of policies, procedures, rules and regulations related to the specific administrative function. 
  • Knowledge of modern office practices, procedures and equipment. 
  • Ability to coordinate diverse administrative functions. 
  • Ability to establish and maintain effective working relationships. 
  • Ability to plan, organize and supervise the work of subordinate personnel. 
  • Ability to communicate effectively.
DRUG SCREENING, CREDIT CHECK, DELINQUENT TAX CHECK AND SLED BACKGROUND CHECKS REQUIRED.
