Summary of Work
This position assists with bookings and rentals of events and meeting spaces at the North Dakota Heritage Center & State Museum. The Event Coordinator Assistant works with facility users to schedule and coordinate details of meetings and events and collaborates with internal support staff to ensure successful event execution.
This position requires the ability to work a flexible schedule, including early morning event set up as well as occasional evening and weekend hours. The Events Coordinator Assistant coordinates with event support staff including security, technology, and custodial teams.
This is a temporary, full-time position anticipated to begin on or around May 4 and continue for approximately four months, with the potential to transition into a permanent role based on agency funding and employee performance.
This position is responsible for:
- Scheduling, coordinating, and assisting with all details of meetings and event rentals, including contracts and financial payments.
- Coordinating with third-party vendors (caterers, decorators, musicians, etc.) to ensure agency guidelines are followed.
- Work closely with security, custodial, and technology teams, and the public to support events.
- Assist with room setup, tear-down, cleaning, and daily reset of events.
- Provide basic technical assistance for event technology as needed.
Minimum Qualifications
- Associates degree with emphasis in hospitality services and two years' experience in similar business and customer related fields; or high school diploma (or equivalent) and four years' experience in hospitality or business services.
- Ability to work flexible schedule including some evenings and weekends for events.
- Demonstrated experience scheduling and coordinating events, completing event contracts, coordinating set up information, and tracking user payments.
- Must be able to move/life 25 pounds for event set up and tear down.
