Why does the job exist?

This position provides high-level administrative support within the Office of the Secretary, including the Site Readiness; Infrastructure; Tradeports; Just Transition; Justice, Equity, Diversity, and Inclusion Office (JEDI); and the Department as a whole. They will be the primary point of contact for administrative support within the Albuquerque Office, providing support for procurement processing, scheduling, records maintenance, and other duties.
How does it get done?

This position will:
1) Provide administrative support to the Office of the Secretary, Site Readiness, Infrastructure, JEDI, Just Transition, and high-level needs of the Albuquerque Office.

2) Manage calendars and coordinate meetings and other logistics.

3) Manage, process, and track travel including reimbursements.

4) Maintain the agency's front office and conference rooms, serving as the primary point of contact for all public guests visiting the Albuquerque Office.

5) Maintain inventory, supplies, equipment, subscriptions, and related financial records.

6) Coordinate inter-office administrative support efforts with other agency administrative support staff, taking on other tasks as assigned by the Deputy Cabinet Secretary or Cabinet Secretary.

7) Purchasing and records management/tracking, including processing purchase requisitions, tracking purchase orders and processing invoices, and managing P-card account.

8) Other duties as assigned.

Minimum Qualification

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements

Must possess and maintain a current valid New Mexico driver's license.

Must obtain the State of New Mexico Defensive Driving Certificate.
Working Conditions

This position is based in Albuquerque. Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage, sitting for long periods, bending, stooping to file and occasionally lifting a minimum of 25 pounds. Possible exposures to irate clients/customers. Incumbent may, at times, work under stress and frequent time constraints. May occasionally require extra hours worked. Some statewide travel may be required.
