Description
If you want to make a difference in your community and be a part of an exciting team, the Department of Corrections may have a career advancement opportunity for you! The Division of Probation and Parole District 19 is hiring for the position of Administrative Specialist.
The Administrative Specialist position is responsible for monitoring the administrative caseload by entering and managing monthly reports in Kentucky Offender Management System (KOMS). The position will complete record checks on each offender, communicate with offenders, offender families, Department of Correctional staff, various state Department of Corrections staff, probation and parole offices, and the courts. All communications should be accurate and organized. This position will be trained.
Responsibilities include, but are not limited to, the following:
The Administrative Specialist position is responsible for monitoring the administrative caseload by entering and managing monthly reports in Kentucky Offender Management System (KOMS). The position will complete record checks on each offender, communicate with offenders, offender families, Department of Correctional staff, various state Department of Corrections staff, probation and parole offices, and the courts. All communications should be accurate and organized. This position will be trained.
Responsibilities include, but are not limited to, the following:
- Ensure continued compliance with accreditation standards and correctional policies.
- Enter fee payments and reporting notes in KOMS.
- Review reports from courts and parole board.
- Process required notifications to the courts, probation and parole officers, and supervisors.
- Assist with the daily correspondence received from Kentucky field offices, as well as from the other 49 states and 3 territories.
- Review new arrests.
- Maintain all policies and procedures required for the Kentucky Department Of Corrections.
- Complete and maintain required training associated with job duties.
- Excellent communication skills.
- Ability to work in an office setting.
- Ability to complete work within all deadlines and in a in a professional manner.
- Multitasking skills.
- Ability to make sound decisions in high stress situations.
- Ability to think critically and analyze data to forecast positive outcomes.
- Ability to adapt to the ever-changing needs of the department and division.
Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
SPECIAL REQUIREMENTS (AGE, LICENSURE, REGULATION, ETC.): NONE
Working Conditions
Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
