Position Summary & Responsibilities
Job Responsibilities may include, but are not limited to the following: Functions as an administrative assistant to the Procurement office. Sorts and distributes to appropriate staff all correspondence coming into the warehouse. Sorts and distributes outgoing mail and documents from this office to the ECF post office. Serves as a receptionist to the department, greeting sales representatives and other visitors to the area projecting a professional image and demeanor in all daily contact with staff, vendors, and the public. Maintaining all electronic data and hard copy files, reviewing and updating as necessary to maintain an accurate purchasing system. This includes, but is not limited to the SMART system, the Access Database of Physical Inventories and any additional required systems. Assists and processes forms, letters, and documents as needed. This may include drafting, typing, and revising letters, memorandums, purchase orders, bids, and requisitions. Responsible for interpreting and responding to phone calls and letters of inquiry from outside agencies and vendors, conferring with Procurement Officer regarding such correspondence, Performs other task as assigned by the Procurement Officer or other staff in the warehouse as needed by the department.
Types all agency purchase requisitions into the SMART system, checking cost extensions, item, price and vender information on each requisition. Maintains files on all orders, outstanding and/or partially complete. Keep Procurement Officer and Warehouse Manager updated as to the status of outstanding and partial orders, problems with requisitions, supply requisitions, and inventory.
Be the backup for the other storekeeper positions which include filling requisitions for supplies requested from the storeroom. Dispatches delivery personnel to the appropriate areas. Supervises a detail of 4-10 residents and helps to train said residents in warehouse, safety, and cleaning procedures, and proper use of the forklift.

Qualifications
Education: High school diploma or GED
Licensing & Certification: Possess a valid driver's license
Minimum Qualifications: One year of experience in storekeeping, including receiving, inspecting, cataloging and storing goods, and maintaining inventory records. Education may be substituted for experience as determined relevant by the agency.
Preferred Qualifications: Knowledge of commonly accepted receiving practices. Knowledge of basic physical inventory procedures. Knowledge of forklift operations. Able to lift up to 50 pounds safely. Ability to recognize corresponding numbers and letters. Ability to accurately transfer/record numerical and alphabetical figures. Ability to follow verbal and written instructions. Ability to make basic arithmetic computations. Ability to communicate verbally and in an understandable and tactful manner. Ability to establish effective business and working relationships with fellow employees. Ability to compare information and recognize discrepancies. Ability to understand and follow prescribed storekeeping and safety procedures.

Selection Process: Applicants selected for an interview will be evaluated by an interview panel using performance/behavior-based interview questions. The interview panel will make recommendations to the Warden for final approval. A second interview may be conducted.
