Your Specific Responsibilities:
This is a position which requires the incumbent to work independently and to use good judgment regarding the enforcement of standard operating procedures for the Florida State Health Online Tracking System (SHOTS), the statewide immunization registry. This position requires extensive work with the healthcare provider community in Florida and must always represent the department in a positive and professional manner. The incumbent in this position must also be capable of understanding and observing appropriate protocols regarding all requirements for the healthcare providers enrolled in the Vaccines for Children Program.
Florida Shots System
- Enrollment Processing - Maintain working knowledge of standard operating procedures to review, evaluate, process and correct enrollment applications while categorizing non-enrollable applications for proper and timely follow-up for the Florida SHOTS system. The incumbent will identify enrollment issues and either resolve the issue or report to the supervisor. Utilizing standard operating procedures and knowledge of the Florida SHOTS system, the incumbent will properly resolve issues for healthcare providers and assist when needed.
- Training Support- The incumbent will assist with the training of healthcare providers. This will include assistance with the development and maintenance of web-based training videos and user manuals. Web-based training and user manual support is to be coordinated to ensure the products are ready for deployment with the associated release.
- Reviews the Flshots@flhealth.gov email account throughout the day to make sure all communications are performed in a timely manner.
- Perform password resets for logging into Florida SHOTS for all enrolled users.
- Processing merge/purge/dedupes within Florida SHOTS.
- Processing record requests within Florida SHOTS.
Vaccines for Children’s Program
- Processes VFC vaccine orders within Florida SHOTS.
- Reviews of temperature excursions for providers. Communicate with the providers on how to address the excursions.
- Assist the provider with the Annual Re-enrollment process within Florida SHOTS. Ensures the data related to personnel listed under each VFC provider site within the organization stays current as required by the CDC VFC guidelines.
- The incumbent will assist VFC providers on how to do the following in Florida Shots maintain vaccine inventory, maintain VFC site data, create VFC storage units with proper data logger calibration certificates, and document temperatures for their VFC storage units when necessary.
- Communicates with all VFC providers regularly throughout the year regarding vaccine that will expire in the next 60-90 days. The incumbent will inform the provider of their assigned local VFC field staff who will assist the provider regarding expiring vaccine to find another VFC provider who can use the vaccine in the provider’s geographical area.
- Reviews the FloridaVFC@flhealth.gov group email throughout the week to ensure all VFC communication to providers is performed in a timely manner.
