Position Summary
StatCare is looking for a detail orientated patient referral coordinator. The New Patient Referral Coordinator serves as the primary point of contact for managing and coordinating new patient referrals to our pulmonary group. This role ensures a smooth, efficient, and patient-centered process by communicating with referring offices, verifying insurance, scheduling appointments, and collecting necessary medical records to prepare patients and providers for a successful visit.
Key Responsibilities
- Referral Management:
- Receive, review, and process all incoming referrals from external providers, hospitals, and internal sources.
- Contact referring offices to obtain missing information or clarify referral details.
- Enter referral data accurately into the electronic medical record (EMR) system.
- Patient Coordination:
- Contact new patients promptly to confirm referral receipt, verify demographics and insurance information, and schedule appointments.
- Provide patients with information about the practice, visit expectations, and any required pre-appointment instructions (e.g., imaging, testing, forms).
- Serve as a resource for patients to answer general questions regarding referrals and scheduling.
- Clinical Support:
- Ensure all relevant medical records, imaging studies, and test results are obtained and available to providers prior to the patient’s appointment.
- Coordinate with clinical staff and physicians to prioritize urgent referrals and accommodate time-sensitive appointments.
- Documentation & Communication:
- Maintain accurate and up-to-date documentation in the EMR regarding referral status and patient communications.
- Communicate effectively with providers, staff, and outside offices to ensure continuity of care and referral completion.
- Insurance & Authorization:
- Verify insurance eligibility and obtain any required authorizations or pre-certifications for consultations and procedures.
- Work closely with billing and authorization teams to resolve insurance-related issues.
- Quality & Compliance:
- Follow HIPAA and confidentiality regulations at all times.
- Participate in process improvement initiatives to enhance referral management efficiency and patient experience.
Qualifications
- Education: High school diploma or equivalent required
- Experience:
- Minimum of 2 years of experience in a medical office setting, preferably in pulmonology, internal medicine, or a specialty practice.
- Prior experience with patient scheduling, referral coordination, or medical records management strongly preferred.
- Skills:
- Strong organizational and time management skills with attention to detail.
- Excellent communication and customer service abilities.
- Proficiency in EMR systems (e.g., Epic, Athena, or similar) and Microsoft Office Suite.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
